Under the direction of Pharmacy Manager, coordinates all inventory management efforts for assigned department(s) including coordination of and team lead responsibility for Specialty Pharmacy Liaison functions. This includes but is not limited to using hand held devices to inventory supply areas, stocking medication and supply orders, maintaining the supply areas in a neat and orderly fashion, identifying and processing emergency supply orders as needed, participate in teams to review and make changes to pars, perform all necessary receiving functions for dispensing, and generally act as an advocate in all areas of inventory management. This includes the inventory, receipt, stocking and processing of all pharmaceuticals and ancillary pharmacy materials. Maintains inventory records of supplies on hand, ordered, and received. Must work as part of a team that includes management, dispensing staff pharmacists, pharmacy technicians, and shipping associates. Must work closely with procurement team for any inventory discrepancies or additional needs.

Responsibilities

  • 1. Serves as the team leader and subject matter expert for Specialty Pharmacy Liaisons:
    • 1.1 Coordinates Specialty Pharmacy Liaison inventory functions to maintain or exceed performance against inventory related metric standards.
  • 2. Access dispensing system and/or handheld cycle counting device for daily inventory counts.
  • 3. Accountable for all inventory cycle counting activities. Enters adjustments as required; documents action steps for audit validation as observed on adjustment reports.
  • 4. Provide feedback to management and procurement regarding any overages or shortages of inventory and adjust supply levels and inventory storage spaces based on business needs.
  • 5. Accepts inventory from third party vendors, verifying quantity of totes or shipments received, ensuring compliance with federal Drug Supply Chain Security Act (DSCSA) legend drug monitoring system.
  • 6. Maintaining inventory of packaging and pharmacy supplies effective handoffs and follow-up with procurement team.
  • 7. Responsible for self-audit reconciliation reporting within DSCSA monitoring system and for Purchase Orders within dispensing software.
  • 8. Sort and stock incoming inventory in an organized fashion with minimal interruption to the daily workflow of dispensing staff.
  • 9. Receive inventory into dispensing software accurately
  • 10. Reconcile non-wholesaler, direct from manufacturer inventory items in Infor. Researches and corrects inventory discrepancies within 24 hours of receipt.
  • 11. Loads inventory in automated dispensing system(s) when applicable
  • 12. Maintains a working knowledge of all process flow steps of the information system to include receiving, pick list processing, and accounts payable. Identifies and troubleshoots issues as they arise.
  • 13. Hands off all returns to wholesaler or carrier.
  • 14. Coordinates the annual physical inventory with input from procurement and finance office.
  • 15. Verifies the accuracy of stock locations and label integrity as observed by walk through activities.
  • 16. Schedules and instructs team members to perform the physical inventory count.
  • 17. Processes all inventory valuation programs, enters count data; reviews out of balance data and recommends recounts or adjustments.
  • 18. Ensures smooth and efficient operational flow of activity as observed by feedback from staff.
  • 19. Responsible for restocking all physical automation equipment, robotics, adherence packagers, and refrigeration systems.
  • 20. Responsible for representing the pharmacy as a point person to oversee all matters that involve inventory and automation. Must function as the liaison with both external entities and other internal departments who need an inventory/automation project resource.
  • 21. Oversee and maintain optimal performance of the refrigerators and freezers within the pharmacy including the remote temperature monitoring system.
  • 22. Demonstrates appropriate handling of medication in accordance with United States Pharmacopeia (USP), Food and Drug Administration (FDA), Department of Consumer Protection (DCP), Utilization Review Accreditation Commission (URAC), Accreditation Commission for Health Care (ACHC), and all local and federal laws.
  • 23. Assists in data review, information system project work and performs additional tasks as directed by Manager, Outpatient Pharmacy Services, or other Pharmacy Management team members accurately and efficiently.
  • 24. Performs other tasks directed by Manager, Outpatient Pharmacy Services, or other Pharmacy Management team members.

Qualifications

EDUCATION

High school diploma or equivalent required. College degree is desirable. Successful completion of an academic or military hospital pharmacy technician training course preferred.

EXPERIENCE

Three to five (3-5) years of pharmacy technician experience required. One (1) year inventory control experience required

LICENSURE

Active Pharmacy Technician Certification Board (PTCB) certification or equivalent AND active Connecticut Pharmacy Technician Registration without restrictions required.

Must be highly organized and highly technologically inclined. Must be able to clearly communicate project statuses and critical updates to various pharmacy leaders and stakeholders on an ongoing basis Proficient in communicating via email, phone, and messenger applications, as well as in person. Proficient in reviewing and/or manipulating spreadsheet files.

PHYSICAL DEMAND

This position involves significant physical activity and manual labor as part of the daily responsibilities. While performing the duties of this job, the employee is required to use hands to finger, handle, or feel; reach with hands and arms; and talk and/or hear. The employee must be able to sit, stand, and walk for extended periods throughout the day. The employee needs to bend, stoop, kneel, crouch, and occasionally crawl to access inventory in various storage locations. They will be required to frequently lift, carry, push, or pull items weighing up to thirty pounds, and occasionally move heavier items with assistance or approved equipment. They will need to use their hands and arms regularly to reach, handle, and operate tools, equipment, or materials required for inventory management. They will need to demonstrate sufficient visual ability to perform essential job tasks, including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus for reading labels, monitoring inventory systems, and navigating storage areas safely. The essential job functions must be performed with or without reasonable accommodation.
