Position Summary

The Sr. Facilities Management Specialist plays a central role in the daily operations, safety, and efficiency of Berkeley Law's facilities. The position ensures that access, security, and operational systems function smoothly across the law school complex, affiliated offsite locations-including 2240 Piedmont Avenue and Berkeley Law West (BLW)-and other designated spaces. A primary responsibility is to manage and administer access control systems, including key distribution, electronic lock programming, and specialized software tools such as Key Organizer, Visual Directory, and C-Cure, while ensuring compliance with institutional access policies.

This position also oversees the reservation and event support process, reviewing requests for classrooms, events, and special uses, and ensuring they align with UC Police Department and Building Oversight Committee (BOC) guidelines. This includes approving or denying requests, communicating decisions to stakeholders, and delegating related setup and teardown needs to facilities staff. The role requires flexibility to support after-hours and weekend events, which are critical to the school's academic, professional, and donor engagement activities.

The position actively monitors the campus ticketing system to ensure timely responses to facilities and maintenance requests, addressing escalated or complex issues, and liaising with campus partners (e.g., HVAC, pest management, custodial) to achieve resolution. They track progress of open issues and communicate updates to law school stakeholders to minimize disruptions to academic and administrative activities.

Additionally, the Specialist develops and implements facilities supervision plans for non-law spaces (e.g., Bancroft Hotel), coordinates vendor support, and interprets BOC policies related to access and use of facilities. They collaborate with event organizers and client groups to advise on space use, building code requirements, and ADA compliance, while also updating operational documentation such as handbooks, quick guides, required postings, and facility-related website content.

Finally, the Sr. Facilities Management Specialist plays a proactive role in maintaining safe and effective operations by auditing spaces, inspecting for potential issues, and contributing to departmental professional development. This multifaceted position requires strong problem-solving skills, the ability to balance multiple priorities, and a commitment to customer service in supporting faculty, staff, students, and visitors of Berkeley Law both on-campus and at its offsite locations.

Responsibilities

Access:

  • Uses specialized software and other tools, such as Key Organizer, Visual Directory, C-Cure, to manage building access.
  • Navigates complex software and tools, works with other departments to assess and improve systems, and ensures accuracy in all aspects of the work.
  • This includes managing physical key distribution and collections, and electronic lock programming while adhering to access policies.
  • This area may include project management work, coordination with other campus departments, etc.

Event Reservations:

  • Oversees the general process of reservation requests for all events and classes for the law school.
  • Reviews reservation requests to ensure compliance with guidelines and policies established by UCPD and/or the Building Oversight Committee (BOC).
  • Using complex software (Mazevo) and other tools, evaluates requests in a timely manner, requests additional information.
  • Approves or denies requests based on the established policies and criteria and communicates decisions.
  • Escalates as appropriate for additional review or in unusual cases and special requests.
  • Delegates reservation requests for room setups and teardowns.
  • Collaborates and coordinates with event organizers to assist with event planning, setup, and breakdown needs.
  • Consults with Berkeley Law Events team and other client groups on facility needs and logistics for events.
  • Provides guidance and advises on building code requirements and ADA regulations to ensure compliance.

General Facilities Operations and Maintenance Coordination:

  • Monitors ticketing system and responds to building operations and maintenance requests.
  • Responsible for escalated tickets and requests of moderate complexity.
  • May provide guidance, mentorship, and/or assistance to team members on resolving and addressing ticketing requests and inquiries.
  • Liaises with campus partners to respond to urgent needs and resolve complex challenges, e.g., HVAC, pest management, etc.
  • Coordinates and tracks progress of maintenance issues reported to campus facilities until resolution or completion.
  • Stays apprised of developments on campus and evaluates implications for the law school.

Communication:

  • Communicates with departments and other stakeholders to gather input and share updates on systems and procedures that impact building operations.
  • This includes communication across multiple buildings that comprise the law complex.
  • Updates areas of the website related to the building operations.
  • Stay abreast of current policies, procedures and regulations related to facilities, security, safety, etc. and updates handbooks, quick-guides, and other materials that document procedures as needed.
  • Audits and updates required postings, notices and other posted material throughout Berkeley Law campus.
  • Assists with the creation and development of new materials pertaining to building operations.

Planning and Policy Development:'

  • Develops and implements facilities supervision plans for non-law building spaces, coordinating operations, access, and maintenance activities to ensure effective facility management. Interprets and implements policies established by the Building Oversight Committee and other governing entities related to facility access and operations.

Project Management:

  • Liaises with campus partners to respond to urgent needs and resolve complex challenges, e.g., HVAC, pest management, emergency management, etc.
  • Coordinates and tracks progress of maintenance issues reported to campus facilities until resolution or completion.
  • Stays apprised of developments on campus and evaluates implications for the law school.

Engages in professional development and training opportunities as needed.

Required Qualifications

  • Thorough knowledge in the areas of building space planning, codes, capacity, security, fire safety, and/or can quickly learn organization and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships.
  • Excellent judgment, responsiveness, and written communication (email) as needed to effectively manage space use, access and security related issues in the community.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted annual salary range that the University reasonably expects to pay for this position is $89,992.36 (Step 1) - $99, 355.34 (Step 6).

  • This is a full-time (40 hours/week), career position that is eligible for UC Benefits.
  • This is an exempt monthly-paid position.

  • The anticipated work schedule for this position is Monday - Friday, 9:00AM - 6:00PM or 10:00AM - 7:00PM. Flexibility is required, including the ability to work as early as 6:30AM, evenings, and occasional weekends, as needed to support operational needs.
  • This position is based onsite, with potential flexibility to work remotely up to one day per week (20% of the schedule), subject to approval by the direct supervisor and senior leadership. Remote work arrangements are guided by operational needs and may be modified or discontinued at management's discretion.
