SUMMARY

This position requires someone who can work independently with many diversified clerical duties related to personnel matters and obtaining Department of Public Welfare mandated documents from prospective and current employees. This position requires good computer skills for correspondence and statistical reports. This person must be flexible and process personnel files and related data. He/she must have a professional demeanor in dealing with staff and the public. This person must be capable of handling sensitive documents in a confidential manner, not to be discussed with co-workers or others. This position reports directly to the Operations Supervisor.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Calls prospective applicants to schedule interviews.
  • Creates and maintains personnel files and records and ensures all documentation required by County HR Department and Department of Human Services is in the personnel files.
  • Maintains records of required clearances, physicals and drivers licenses and notifies employees of required updates on a timely basis.
  • Maintains records of all vacation and personal time requests and ensures time is entered correctly into timecards.
  • Provides guidance and liaison with HR as necessary for staff with regards to personnel questions and problems.
  • Compiles training log and year end statistical reports for Annual Program Description.
  • Provides orientation for all new staff on their first day of employment.
  • Prepares monthly restraint log.
  • Calculates daily, monthly and yearly statistical reports for Youth Center residents in both programs.
  • Prepares monthly invoice information for JPO and OCY and provides this to appropriate individuals at JPO.
  • Maintains inventory and storage area for staff uniforms and resident clothing.
  • Provides backup for the Intake position when necessary, including answering phones, processing admissions, departures, and visitors and preparing proper documentation of residents' personal possessions.

  • Must possess accurate computer skills, Word and Excel.
  • Ability to complete tasks in a timely manner.
  • Must be highly organized.
  • Good interpersonal skills in dealing with staff
  • Ability to handle confidential and sensitive employee information with highest confidentiality.
  • Assists and accepts clerical assignments in other work areas as necessary.
  • Must have a PA Criminal History Record check, a drug test, Child Abuse History clearance and FBI fingerprint clearance prior to employment.
  • Must have a physical examination report from a licensed physician.
  • High School diploma or equivalent education and related experience.
  • Maintain a professional distance with residents.
