Position Summary:
Reporting to the AVP, Talent Management, the Workday Trainer is responsible for the design, development, and
delivery of technical training programs related to the University's enterprise
systems especially Workday. This role serves as the primary bridge between
system functionality and end-user adoption. The Trainer will be responsible for ensuring successful user adoption
through comprehensive and engaging training initiatives.
The Trainer will plan
and create engaging learning content, including but not limited to, live
workshops, on-demand videos, and quick-reference guides, to ensure that
faculty, staff and students can navigate enterprise systems with confidence.
This role requires a blend of instructional design expertise, project
management skills, and a deep understanding of the Workday platform. While
Workday is being implemented, the Trainer will collaborate closely with the Workday
implementation team, including the implementation partner, project managers,
change management, and various business stakeholders to create tailored
content, and facilitate a smooth transition for all Workday users. Post
implementation, the trainer will work closely with the Workday Support Team to
ensure that training materials reflect changes and are disseminated to the
appropriate audience, as well as ensure that new employees are trained and
existing employees are able to tap into refresher training on an ongoing basis.
Essential Functions:
-Design, develop, and update a variety of engaging and user-friendly training materials, including but not limited to:
-Instructor-led training (ILT) manuals and presentations.
-Job aids, quick reference guides, and FAQs.
-Video demonstrations and simulations.
-Create detailed training plans for pre and post implementation, including timelines, resource allocation, content development milestones, and delivery schedules.
-Coordinate with all workstream subject matter experts in the training process per the training plan.
-Manage training logistics, including scheduling, venue setup (if applicable), and participant registration.
-Provide ongoing support and guidance to users during and after training sessions.
-During the implementation, participate in project core team and cross-functional workstream meetings to report overall training status.
-Post implementation participate in support / troubleshooting / change implementation discussions, as needed.
-Escalate issues to leadership.
-During the implementation, work in conjunction with the change management team to promote user adoption and address resistance to change.
-Gather feedback from trainees and stakeholders and continuously improve training programs and materials.
-Communicate training progress, challenges, and successes to leadership and key stakeholders.
-Partner with post-implementation support team to analyze upcoming system releases (e.g., Workday R1/R2). Audit existing training materials and update them before changes are deployed in the production environment.
-Ensure all digital training materials meet University accessibility standards (WCAG 2.1), including captioning for videos and screen-reader compatibility for documents.
-Fulfil other training and change management related responsibilities, as deemed necessary by NJIT.
Prerequisite Qualifications:
-At least 3 years of Workday implementation experience with at least 1 year' experience as a Workday Trainer.
-Demonstrable experience leading training initiatives for at least one full-lifecycle Workday implementation.
-Proficiency in developing a variety of training materials, including videos, presentations, and job aids.
-Excellent presentation, facilitation, and communication skills (written and verbal).
-Strong project management skills with the ability to plan, execute, and monitor training activities effectively.
-Ability to translate complex technical concepts into easily understandable training content for diverse audiences.
-At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
Preferred Qualifications:
-Experience in higher education.
-Experience leveraging AI and emerging technologies in training environments.
-Requisite Workday certifications.

Salary Information:
In compliance with the NJ Pay Transparency Law, the annual salary range for this position is $85,000.00-$100,000.00 (USD). NJIT considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. This pay range represents base pay only and excludes any additional items such as incentives, bonuses or other items.
