Position Summary
The Administrative Specialist for the Dean Rusk International Law Center provides key administrative, faculty, and event support to advance the Center's mission. This role serves as a primary point of contact, managing daily operations, procurement, communications, facilities coordination, and student workers. The position supports Center faculty with instructional, research, and travel needs and assists with conferences, lectures, and events, including logistics and financial processing. The Administrative Specialist also maintains the Center's website and publications and contributes to newsletters and the annual report under the direction of the Center Director.

Administrative & Financial Support

  • Provide general Center budget support and bi-weekly financial reporting to the Center director
  • Serve as a first point of contact for vendors, perform procurement duties, and order office supplies as needed
  • Receive deliveries, distribute incoming mail, and prepare outgoing mail
  • Serve as first point of contact for room reservations in the Rusk Center and conference room; handle room reservations as needed for Center faculty and staff
  • Monitor and respond to general Center inquiries via the main Center email account and phone, as well as in-person drop-ins, as needed
  • Assist director and Center staff with general coordination of Center meetings, including scheduling, note-taking, and follow-up correspondence
  • Maintain the Center website, communicating updates to IT and making edits where needed
  • Supervise Center student workers and follow all USG payroll policies
  • Assist with the creation of the Center's annual report
  • Assist with the drafting of the Center's bi-weekly digital newsletter
  • Serve as the primary point of contact for issues/ concerns regarding the physical Center space and coordinate with the Law School's facilities team.
  • Maintain cleanliness and organization of the Dean Rusk break room and other common areas to ensure a safe and welcoming shared space.

Faculty Support for Center

  • Serve as the Faculty Assistant for faculty in the Dean Rusk International Law Center
  • Provide support to the instruction, research, and professional development initiatives for several members of the Law School Faculty.
  • Assist with class attendance records, organizing, preparing, distributing, and collecting class materials.
  • Process travel arrangements (to include travel authorizations and expense statements).
  • Other duties may include preparing, obtaining, and organizing reports and files supporting faculty research and service responsibilities.
  • Serve as back-up for other faculty administrative assistants.

Event Coordination

  • Coordination of space and services, development of timelines in coordination with Center staff, collaboration with internal stakeholders, participant registration, and on-site execution/ cleanup
  • Coordinate hotel room blocks, room setups, catering details, registration logistics, and vendor requirements
  • Process all related financial transactions for events within 30 days of the event.
  • Develop draft marketing materials and social media graphics
  • Provide support for events hosted by the Center by assisting with setup, being active and available during events, and clean-up.
