Title of Position: Visions Wealth Management Administrative Associate

Position Overview: As the Visions Wealth Management (VWM) Administrative Associate, you provide operational support to the Visions Wealth Management team. This includes client/member service, marketing correspondence, scheduling, and other administrative tasks. This role manages the Visions Wealth Management referral program, maintaining all systems and fielding employee or client inquiries. The VWM Administrative Associate will sustain account relationships through processing client or advisor requests related to their investment accounts and other various service-related needs.

Position Type: Full-Time. Typical shifts include Monday through Friday 8:00AM to 5:00PM.

Compensation Range: $20.00/hr. - $25.50/hr. *Hiring rates may be dependent on a number of factors, including years of directly related work experience, education, geographic location or special skills*

Location: Position is On-site at McKinley Avenue, Endicott, NY.

Responsibilities/Duties:



  • Facilitate investment business to the appropriate company, process all file maintenance, and handle new account opening.
  • Complete all back-office paperwork processing and documentation procedures.
  • Aid Visions Wealth Management in program seminar and events, to include marketing and mailing efforts.
  • Handle all client inquiries and communication via phone, email, and in person by finding a solution and fulfilling the need.
  • Assist Financial Advisors with questions or requests concerning accounts and paperwork.
  • Work with various investment groups in processing client transactions and resolving service-related issues.
  • Maintain Visions Wealth Management referral program, to include the use of Credit Union and Wealth Management CRM systems.
  • Assist in data analysis and report generation for the investment team.
  • Keep client databases and records updated with Broker Dealer and Client Relationship Management systems.
  • Assist in preparation of compliance documentation and regulatory reports.
  • Adhere to all regulatory compliance policies and training assigned by Broker Dealer.
  • Maintain confidentiality of all client information and comply with all industry rules and regulations.
  • Provide departmental back-up coverage as needed.
  • Respond effectively to changing ideas, responsibilities, expectations, trends, strategies, and other processes.

Minimum Qualifications & Experience:



  • High school diploma and 1-3 years of related experience.
  • Proficient in the Microsoft Office Suite programs and standard office equipment.

Preferred Qualifications & Experience:



  • Associate degree preferred.
  • Specialized knowledge in the investment industry.
  • Preferred licenses: Series 6, Series 7 & Series 63 or L&H/P&C.
