Position Summary

We are seeking a highly organized and systems-minded Event Coordinator to support the delivery of high-quality live and virtual events.

The Event Program Coordinator translates strategy and event design into structured execution. This role maintains event systems, supports registration and continuing education processes, coordinates communication workflows, and ensures timelines and documentation are executed with quality and consistency.

The ideal candidate brings hands-on experience supporting the execution of live and virtual events and is confident managing event tech platforms independently. This role requires strong follow-through, an eye for detail, and the ability to manage multiple concurrent programs in a fast-paced, collaborative environment. As our event portfolio continues to grow, this position supports the continued development and consistency of event systems and processes.

Key Responsibilities

Event Systems & Project Coordination



  • Maintain event workflows, timelines, and documentation across multiple concurrent programs
  • Maintain data accuracy across event platforms
  • Implement and uphold standardized processes and templates
  • Support ongoing process improvements by contributing ideas and feedback to strengthen workflow clarity and efficiency.



Registration & Continuing Education Support



  • Build and maintain event registration platforms (Cvent, CE-Go)
  • Update session, speaker, and program information
  • Test registration flows and resolve technical issues
  • Prepare and track CE documentation and application materials


  • Monitor deadlines and approvals to ensure compliance
  • Compile attendance and evaluation records



Communications & Cross-Team Coordination



  • Support participant communication timelines and updates
  • Coordinate deliverables across Marketing, Community Engagement, and Customer Success teams



Event Delivery & Post-Event Support



  • Assist with on-site and virtual event execution
  • Prepare materials and event documentation
  • Compile post-event data and contribute to reporting and process improvements



Role Requirements

Basic Qualifications



  • Bachelor's degree
  • 2-5 years of hands-on experience supporting live and virtual events
  • Experience with event management platforms (e.g., Cvent, CE-Go)
  • Experience with project management tools (e.g., Asana, Airtable)
  • Proficiency in Microsoft 365
  • Exceptional organizational, time-management, and follow-through skills
  • High attention to detail and accuracy
  • Ability to work independently and collaboratively across departments



Preferred Qualifications



  • Strong systems-oriented mindset and comfort learning new tools quickly
  • Skilled at communicating kindly, clearly, and professionally (verbal and written)
  • Experience or comfort supporting DEI initiatives
