A leading organization in the healthcare sector, partnering with Aquent to find top talent, is seeking a dedicated professional to join their dynamic Real Estate team. **About the Role**

As a key member of the Real Estate team, you will operate as a senior individual contributor, playing a crucial role in managing lease expirations, transaction documentation, and comprehensive portfolio support activities. You will be instrumental in ensuring the accuracy of vital documentation, actively supporting negotiations and renewals, and preparing standardized deliverables that maintain the integrity of our real estate data. This specialist position is a shared service role, vital for ensuring the continuity of critical facilities, protecting organizational interests in negotiations, and maintaining accurate portfolio data to support enterprise-wide real estate strategy. You will collaborate cross-functionally with Finance, Legal, Planning & Design, Site Operations, and external landlords and brokers, providing input to operational goals and potentially leading small projects or initiatives within the real estate function.

**What You'll Do**

* **Lease & Transaction Management:**

* Manage routine lease renewals, amendments, and option exercises, ensuring uninterrupted occupancy of critical facilities.

* Track key lease dates and obligations, coordinating with Lease Administration and internal stakeholders for timely execution.

* Support due diligence activities for standard transactions, including document review, site walkthroughs, and coordination with brokers and legal counsel.

* Draft and review lease abstracts, summaries, and approval materials, ensuring accuracy and completeness.

* Prepare governance packages for renewals and amendments, confirming compliance with approval requirements.

* **Stakeholder & Relationship Management:**

* Serve as an external-facing representative in day-to-day interactions with landlords, brokers, and property managers.

* Build and maintain positive landlord relationships, positioning our organization as a preferred tenant and counterparty.

* Escalate complex or high-value matters to senior team members while ensuring communication continuity.

* Partner with internal teams to align documentation and financial tracking with executed agreements.

* Support senior specialists and directors in preparing materials and responses for executive stakeholders.

* **Market & Portfolio Intelligence:**

* Monitor assigned submarkets, staying current on local rental rates, landlord practices, and broker activity.

* Gather intelligence from brokers and landlords to surface trends, risks, and opportunities relevant to upcoming renewals.

* Provide input to the Real Estate team on competitive activity and shifting market dynamics, supporting broader portfolio strategy.

* Contribute data and insights to inform leadership on renewal negotiations and planning.

* **Governance & Documentation:**

* Maintain accurate, audit-ready records in the Real Estate Database, including lease terms, key dates, and landlord contacts.

* Ensure transaction files, approvals, and supporting documentation are organized and compliant with governance standards.

* Track critical deadlines (renewal notices, amendment approvals, expirations) and proactively flag potential risks.

* Adhere to established templates, SOPs, and documentation standards to promote consistency and reliability in reporting.

* Assist with the preparation of concise, high-quality materials for leadership and governance bodies.

**Qualifications**

**Must-Have Skills & Experience:**

* Bachelor's degree (Business, Real Estate, Finance, or a related field preferred). Relevant experience may be considered in lieu of a degree.

* 3-5 years of experience in commercial real estate, lease administration, property management, or corporate real estate.

* Commercial lease administration or transaction support experience.

* Strong written and verbal communication skills, with exceptional document drafting and editing capabilities.

* High attention to detail and a commitment to document accuracy.

* Financial literacy, including the ability to understand lease economics and compare financial terms.

* Proficiency in Microsoft Excel (intermediate to advanced, including financial comparisons and basic modeling).

* Proficiency in Microsoft PowerPoint and Microsoft Word (including document redlining and formatting).

* Ability to manage multiple transactions and deadlines simultaneously.

* Ability to operate in a structured, process-driven environment.

* Professional maturity when interacting with landlords and internal stakeholders.

* Ability to work independently with minimal supervision.

* Strong organizational skills with the ability to manage multiple priorities.

* Service-oriented mindset with a proactive approach to supporting team efficiency.

* Collaborative and flexible, with the ability to work effectively across diverse Real Estate and business operations teams.

**Nice-to-Have Skills:**

* Experience reviewing lease documents.

* Experience in healthcare or institutional real estate.

* Experience preparing approval memos or executive summaries.

* Exposure to budgeting or financial forecasting.

* Experience working in a matrixed or institutional environment.

* Experience with CoStar.

* Experience with lease administration databases or contract management systems.

* Experience with SharePoint, Teams, or similar collaboration tools.

The target hiring compensation range for this role is $33.02 to $64.08 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location
