POSITION SUMMARY: The Executive Assistant is responsible for leading and overseeing the Executive Assistant team while providing strategic, high-level administrative support to executive leadership. This role ensures consistent, efficient, and professional executive support by setting standards, managing workflows, and developing administrative talent. The Executive Assistant Manager serves as a trusted partner to senior leaders, balancing people leadership with hands-on support, and plays a key role in driving operational excellence across executive offices.

ESSENTIAL FUNCTIONS:



  1. Leads, manages, and develops the Admin Assistant team, including coaching, performance management, goal setting, and professional development.
  2. Oversee workload distribution and coverage planning for Executive Assistants to ensure consistent, high-quality support for executive leadership.
  3. Serve as a strategic partner to senior leaders, aligning administrative support with business priorities and anticipating executive needs.
  4. Establish and maintain best practices, standards, and processes for executive support, including calendar management, travel coordination, meeting preparation, and expense administration.
  5. Act as an escalation point for complex scheduling conflicts, sensitive issues, or high-priority executive requests.
  6. Provide high-level executive support as needed, including direct calendar management, meeting coordination, and confidential communications for select leaders.
  7. Ensure confidentiality and professionalism in handling sensitive company, executive, and employee information.
  8. Collaborate cross-functionally with Corporate Services, HR, Finance, IT, and other departments to support executive initiatives and organizational priorities.
  9. Drive operational efficiency by identifying opportunities to streamline administrative workflows, improve tools, and enhance communication across executive offices.
  10. Support onboarding and training of new Executive Assistants, ensuring a smooth transition and consistent understanding of expectations.
  11. Monitor team capacity, performance metrics, and service levels, adjusting support models as organizational needs evolve.
  12. Manage key components of quarterly board meeting preparation by partnering with business leaders to gather materials and meet strict deadlines; support additional executive initiatives, leadership events and other programs.
  13. Other duties as assigned by manager.


QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)



  • Associates degree or equivalent combination of education and relevant experience
  • 3-5 years of executive administrative experience supporting C-Suite and/or senior leadership, including support for multiple executives
  • Previous experience leading, mentoring, or overseeing administrative or executive support staff preferred
  • Strong organizational, communication, and interpersonal skills with the ability to partner effectively with executive leadership
  • Demonstrated ability to manage multiple complex priorities, exercise sound judgment, and maintain confidentiality in a fast-paced environment
  • Proficiency in MS Office with the ability to quickly learn and effectively use specialized systems such as Yardi, Workfront, and other business tools


PAY: $80,000 - $90,000/year + 5% bonus potential.
