A successful candidate is responsible for the oversight of College of Medicine-Phoenix clinical trial study accounts. This role will be responsible for working with faculty, departmental business office personnel, and our medical partners to address clinical trial billing and invoicing. Duties & Responsibilities Clinical Trial account Management:
  • Oversight of all clinical trial study portfolios.
  • Central liaison and direct point of contact for BH Research Finance, Banner Hospital Pharmacy, and Banner CTMS site coordinator for the receipt, review, distribution, discrepancy resolution, and payment reconciliation for all associated vendor billing.
  • Supervises sponsored projects coordinator.
  • Oversees all post-award activity on the clinical trials.
  • Interprets clinical trials accounting data, analyzes reports, and recommends and/or initiates actions to be taken. Reviews for financial liabilities and compliance.
  • Analyzes, develops, and documents accounting, cost procedures, and controls related to clinical trial research billing.
  • Prepares quarterly reports and meets with clinical research division leaders to review project financials.
  • Provide support and direction for the Finance team and serve as a guiding authority for all clinical trial accounts.
  • Ensure compliance of Sponsor terms & conditions and University, Federal, and State regulations.
  • Work closely with Sponsor, University, Primary Investigators (PIs), and/or accountants to ensure relevant and appropriate activities are performed timely and accurately.
  • Serve as a resource for PIs and clinical research managers to answer questions regarding income/expenses and reporting.

Financial Management:

  • Coordination in developing, implementing clinical trials process and workflows within COMP.
  • Provides training both orally and in writing for clinical trial accounting systems, procedures and practices to departmental business offices and research teams.

Department Support:

  • Work with clinical research staff to review and understand payment milestones to ensure we exhaust all sponsor invoicing opportunities.
  • Proactively support the reconciliation, invoicing, payment follow-ups, and management of research activity and expenditures.
  • Utilize OnCore Clinical Trial Management System (CTMS) and Banner Clinical Conductor (CTMS) for invoicing and study account maintenance.
  • Work with SPS to ensure checks and wire transfers and receivables are credited to the correct accounts.
  • Reconcile clinical research accounts quarterly and update accounting files in BOX HEALTH.
  • Work with the Financial Services Office (FSO) to verify vendor payments are issued and provide backup to vendors as requested.

Knowledge, Skills, and Abilities:

  • Professional demeanor and regard for confidentiality and handling sensitive information in a discreet manner.
  • Knowledge of accounting principles, practices, principles and procedures. to include uniform guidance.
  • Skill in preparing detailed reports on a timely basis.
  • Strong project management skills.
  • Ability to maintain sensitivity with confidential information.
  • Possess excellent written and verbal communication skills.
  • Ability to multi-task in a fast-paced environment, and in a professional manner.
  • In depth knowledge of and the ability to develop standard operating procedures, compliance forms, and tracking documents.
  • Proficient in Microsoft Suite (Word, Excel, and Outlook).

Minimum Qualifications
  • Minimum of 5 years of relevant work experience, or equivalent combination of education and work experience.
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
Preferred Qualifications

  • Bachelor's degree in Business Administration or related field of study.
  • At least 3 years of higher education or government accounting and budgeting experience for research, including various fund types (recurring operating funds, gifts, grants and indirect cost revenue, auxiliary funds, etc).
  • Demonstrated experience managing grants, contracts and other research agreements.
  • Demonstrated experience with quality process management and improvement.
