POSITION SUMMARY

The Property Coordinator provides centralized operational support across a mixed Commercial and Residential portfolio. This role acts as a connective layer between property teams, vendors, and operations leadership, ensuring contracts, task orders, meetings, and financial workflows are executed accurately and closed on time. The position requires disciplined tracking, strong vendor coordination, and the ability to maintain order across parallel workstreams.



WHAT YOU'LL DO

ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Coordinate vendors and contractors across Commercial and Residential assets, ensuring alignment with approved scopes of work, timelines, budget parameters, and portfolio standards.
    • Prepare, route, and administer contracts, service agreements, amendments, and task orders; maintain lifecycle visibility from initiation through execution and closeout.
    • Track vendor performance, compliance documentation, insurance certificates, renewals, approvals, and outstanding contractual obligations.
    • Maintain structured meeting discipline by preparing agendas, documenting decisions, managing action logs, and driving follow-up through completion.
    • Support portfolio-level financial administration, including invoice review against contracted scope, expense tracking, accrual coordination, and alignment with Accounting and Operations teams.
    • Maintain accurate operational trackers, compliance logs, reporting tools, and documentation to ensure portfolio continuity and audit readiness.
    • Coordinate onboarding and offboarding of vendors and contractors, including documentation, system access, compliance requirements, and stakeholder communication.
    • Serve as a central point of coordination across Operations, Property Management, Engineering, Security, Concierge, Finance, and external service providers.
    • Identify process gaps, anticipate sequencing risks, and escalate potential delays or scope conflicts with recommended solutions before operational impact.
    • Oversee administration of portfolio mail, including distribution, coordination of bulk mailings, and management of returned or misdirected correspondence.
    • Maintain and safeguard confidential contracts, compliance records, vendor documentation, and operational files with discretion and accuracy.
    • Coordinate logistics for portfolio meetings, trainings, and operational events, including material preparation and follow-up tracking.
    • Support cross-functional event execution tied to property operations, tenant engagement initiatives, and vendor-related activities.
    • Serve as a professional point of coordination for visitors, internal stakeholders, and external partners related to active projects and portfolio initiatives.


WHAT YOU'LL NEED TO SUCCEED (REQUIREMENTS)

TECHNICAL EXPERIENCE
    • Proficiency in Microsoft Word, Outlook, and Excel.
    • Experience using CRM platforms and internal systems to track engagement, communications, and outcomes.
    • Strong analytical skills with the ability to interpret participation, feedback, and performance data to inform decisions.
    • Ability to quickly learn and effectively use internal tools, platforms, and property management systems.
OTHER SKILLS AND REQUIREMENTS
    • Strong organizational discipline with the ability to manage multiple assets, priorities, and deadlines without loss of accuracy.
    • Structured execution mindset: able to create order, maintain trackers, and drive tasks through completion.
    • Financial attention to detail with the ability to review invoices, validate scope alignment, and recognize discrepancies.
    • Clear, professional written and verbal communication across Operations, Accounting, Property Management, Engineering, and vendors.
    • Meeting management rigor, including agenda preparation, documentation of decisions, and accountability tracking.
    • High level of discretion in handling confidential contracts, financial records, and operational documentation.
    • Proactive problem identification with the ability to anticipate sequencing conflicts, risks, and operational gaps.
    • Strong follow-through and accountability; does not allow tasks to stall without visibility or escalation.
    • Ability to operate effectively in a fast-paced, deadline-driven portfolio environment with minimal supervision.

The salary range for this position is $70,000 to $75,000 annually. In addition to base salary, a generous discretionary bonus will be offered.
