Space Planning and Program Specialist This is a 12-month, full-time (40 hours/week), hybrid contract role located in Cupertino, CA. Summary This role supports global Design Studio environments by partnering closely with the Spaces Program Manager to coordinate and execute space planning initiatives and project management activities. The Space Planning and Program Specialist ensures space data accuracy, supports timely project delivery, and engages the appropriate stakeholders to maintain highly functional and inspiring studio environments. Job Description In this role, you will support the execution of global space planning and program initiatives across multiple studio locations. You'll partner with the Spaces Program Manager and cross-functional stakeholders to align team space needs with long-range workplace strategy plans. This includes maintaining accurate digital floor maps, supporting quarterly space forecasting and headcount projections, and resolving day-to-day seating challenges. You will coordinate relocations by developing project plans, managing group move timing, and supporting migration, phasing, and stack-and-block planning. Additionally, you will monitor, analyze, and interpret occupancy data, generate ad hoc reports, and ensure all space changes are properly documented and communicated. You will also support broader program coordination efforts by developing and maintaining project documentation such as briefs, schedules, status reports, and knowledge hubs. Responsibilities include leading weekly reporting (project status, resourcing, financial summaries), facilitating meetings, escalating risks appropriately, assisting with program metric development, and helping navigate competing priorities across teams to ensure successful delivery of space initiatives.
