Space Planning and Program Specialist

This is a 12-month, full-time (40 hours/week), hybrid contract role located in Cupertino, CA.


Summary

This role supports global Design Studio environments by partnering closely with the Spaces Program Manager to coordinate and execute space planning initiatives and project management activities. The Space Planning and Program Specialist ensures space data accuracy, supports timely project delivery, and engages the appropriate stakeholders to maintain highly functional and inspiring studio environments.


Our Ideal Candidate

  • 3-5 years of experience in space planning, project coordination, or operations within a creative or technology-driven environment
  • Passion for workplace strategy and operational excellence with a strong foundation in data organization and spatial planning
  • Proficient in Numbers, Keynote, and collaboration tools such as Slack and Quip, with strong data tracking and presentation skills
  • Familiar with workplace management solutions (e.g., Tririga) and occupancy reporting systems
  • Skilled in collaborating with cross-functional teams, leadership stakeholders, and facilities partners
  • Able to work independently and manage multiple projects simultaneously
  • Flexible and adaptable to changing priorities, timelines, and stakeholder needs
  • Strong written and verbal communication skills with exceptional attention to detail
  • Proactive problem solver who demonstrates initiative and thrives in fast-paced, informal environments


Job Description

In this role, you will support the execution of global space planning and program initiatives across multiple studio locations. You'll partner with the Spaces Program Manager and cross-functional stakeholders to align team space needs with long-range workplace strategy plans. This includes maintaining accurate digital floor maps, supporting quarterly space forecasting and headcount projections, and resolving day-to-day seating challenges.

You will coordinate relocations by developing project plans, managing group move timing, and supporting migration, phasing, and stack-and-block planning. Additionally, you will monitor, analyze, and interpret occupancy data, generate ad hoc reports, and ensure all space changes are properly documented and communicated.

You will also support broader program coordination efforts by developing and maintaining project documentation such as briefs, schedules, status reports, and knowledge hubs. Responsibilities include leading weekly reporting (project status, resourcing, financial summaries), facilitating meetings, escalating risks appropriately, assisting with program metric development, and helping navigate competing priorities across teams to ensure successful delivery of space initiatives.


Education and Experience

  • Bachelor's degree in a related field preferred, or Associate degree with equivalent relevant work experience
  • Background in facilities planning, workplace strategy, project coordination, operations, or related disciplines
  • Experience within creative studio, design, or technology environments preferred


Additional Requirements

  • This opportunity is located in Cupertino, CA and requires hybrid work arrangements
  • The pay for this W-2 position is $50.00 per hour
  • This position may be eligible for PTO, health and dental insurance, and/or 401(k) benefits upon meeting certain length of service and hours requirements
