Responsibilities

Job SummaryThe Coordinator is the primary entry role in the Enterprise Project Management Office (EPMO). This position is responsible for executing intake, governance, and portfolio coordination activities that keep the EPMO operating smoothly and reliably. The role serves as the execution backbone of the EPMO-maintaining pipeline hygiene, governance readiness, documentation standards, and coordination across projects and stakeholders. While the position may include limited coordination of repeatable, lower complexity initiatives, it does not own complex project delivery or enterprise decision making authority. Essential FunctionsIntake & Pipeline Coordination
  • Receive, log, validate, and track incoming project and work requests.
  • Confirm required intake information and follow up with requesters to ensure completeness and accuracy.
  • Maintain intake pipeline hygiene, ensuring requests are governance ready and aligned with EPMO standards
  • Coordinate early intake activities in support of prioritization, planning, and governance review.
Governance Facilitation & Execution
  • Prepare governance packets, agendas, and supporting materials.
  • Facilitate governance meetings, document decisions, capture minutes, and track follow up actions.
  • Support stage gate reviews and ensure adherence to EPMO governance processes.
Portfolio Data & Reporting Hygiene
  • Maintain portfolio data accuracy through routine audits, reconciliations, and validation checks.
  • Support portfolio dashboards and reporting by ensuring data completeness and consistency.
  • Partner with Project Managers to resolve data gaps and discrepancies.
Resource & Calendar Coordination
  • Maintain resource planning templates, calendars, and scheduling inputs.
  • Coordinate meetings, working sessions, and governance calendars.
  • Support resource managers and PMs with accurate scheduling and coordination inputs.
Documentation & Tooling Administration
  • Maintain documentation standards, naming conventions, and version control.
  • Administer PPM tools and provide basic user support and guidance.
  • Ensure audit readiness of portfolio and governance artifacts.
Bounded Project Coordination
  • Coordinate a limited set of repeatable, lower complexity initiatives (e.g., short duration efforts, standard work programs).
  • Support delivery coordination without owning scope, budget, or enterprise level outcomes.
Continuous Improvement Support
  • Identify process, documentation, or tooling gaps.
  • Participate in testing and rollout of EPMO process or platform enhancements, in partnership with leadership and the Analyst role.
