Position Summary

The Center for Development and Disability (CDD), established in 1990, is New Mexico's University Center for Excellence in Developmental Disabilities Education, Research and Service. These centers, authorized by the Developmental Disabilities Assistance and Bill of Rights Act, build the capacities of states and communities to respond to the needs of individuals with developmental disabilities and their families.

CDD's Prevention Unit seeks a temporary, full-time, on-site, Administrative Assistant 2 to provide administrative and data support for a home visiting program serving women during the prenatal period and families with children through kindergarten entry.

This position is responsible for accurate, HIPAA compliant data entry and maintenance, auditing, reporting, inventory tracking, and general operational support critical to program functioning and compliance.

Key Responsibilities:

  • Enter, maintain, audit, and update HIPAA protected client data in state-funded and national evidence-based home visiting database systems.
  • Conduct routine data quality checks and run standard and ad hoc reports to support program monitoring and compliance.
  • Establish, organize, and maintain confidential electronic and physical client files in accordance with HIPAA and organizational policies.
  • Provide administrative support including responding to inquiries, assisting visitors, coordinating meetings, and preparing routine correspondence.
  • Track supply expenses, manage inventory, and order program supplies and services as needed.
  • Assist with travel reimbursement processing and documentation.
  • Support program events, including graduations and family activities, through logistical coordination and preparation of materials.
  • Assist program leadership and staff with operational problem solving, workflow organization, and project coordination.
  • Handle all information with discretion and sensitivity; adhere strictly to HIPAA requirements (training provided).

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.


Preferred Qualifications

  • Experience with administrative functions and/or services in a community-based program.
  • Strong MS Office Suite skills including database applications.
  • Knowledge of HIPAA and PHI regulations.
