Job Summary

The Program Coordinator is a public facing position that assists with external event scheduling and rentals, coordinates our vending machine and food kiosk program, assists with our food service provider, and processes documents through the contract lifecycle management (CLM) system. Reporting directly to the Associate Vice President in Administrative Services, this position services all three of our locations: Pecos, Williams, and Sun Lakes.

Essential Functions

30% - Assists with external event scheduling and rentals, including meeting with clients, calculating costs, coordinating with support areas, and completing the facility rental. This also includes facility use agreements, waivers, MOUs, and co-sponsored events. Collaborates with the Program Analyst on the event calendar, noting peak times, and tracking data. Tracks data from debriefs that is utilized for future improvements.

30% - Coordinates CGCC's vending machine and food kiosk program. Works with our external vendors (Canteen and Coke) to ensure machines are functioning and stocked. Monitors trends and provides reports for analysis. Communicates updates, machine moves, and changes to stakeholders. Assists with day to day food service items as needed.

15% - Collects and processes documentation (leases, contracts, agreements, etc.); collects and tracks data (food service; events). Communicates updates to respective areas.

15% - Reviews and updates SOPs, ensuring they are current; updates webpages; works on projects and research as assigned. Runs variety of reports. Covers and assists at our Sun Lakes Center as needed.

10% - Other duties as assigned.

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one year of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. Experience with 25Live or other event management software
2. Experience with creating and processing documents for review and approval
3. Experience in higher education or an institutional setting
4. Experience organizing events, working with vendors, and coordinating with stakeholders
5. Experience with software such as Google Suite, Adobe Sign, MicroSoft Suite
6. Two years customer service experience
7. One year of relevant full-time MCCCD experience during the previous two years.

**** Experience within other community college systems or higher education institutions is valued and may be considered in addition to MCCCD experience. External candidates are encouraged to apply.

Special Working Conditions

Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirements

May be required to work at multiple sites or locations.

May be required to lift or carry up to 20 lbs.

Work is performed in an office environment and may have some outdoor environment.
