Department: Workplace Operations

The Workplace Operations team is responsible for creating and maintaining a consistent, high-quality workplace experience across all North American offices. The team serves as the foundation for day-to-day office functionality, employee experience, and operational readiness-ensuring that every office reflects a welcoming, efficient, and people-centered environment.

Workplace Operations partners closely with People Experience, IT, Physical Security, Facilities, and Executive Assistant (EA) teams to support a rapidly scaling organization. The team oversees facilities management, vendor partnerships, space and seating planning, onsite services, and office communications.

With a focus on consistency, accountability, and continuous improvement, Workplace Operations ensures that employees and visitors experience a seamless "Vantage feel" regardless of location. The team plays a critical role in onboarding new employees, supporting office expansions and construction phases, and enabling teams to do their best work by removing operational friction.

Position Summary

This role is based in Port Washington, WI.

The Office Manager plays a critical role in ensuring a positive, safe, and well supported employee experience for teams working out of trailers during data center construction activities. This role provides daily onsite operational support, manages vendor services, oversees trailer readiness, and serves as the primary point of contact for all employee needs on campus. The ideal candidate is highly organized, service-oriented, resourceful, and comfortable operating in a fast changing, construction adjacent environment.

Key Responsibilities

Campus & Trailer Operations

  • Serve as the daily onsite representative ensuring all trailers are clean, functional, stocked, and welcoming.

  • Conduct daily walkthroughs to identify and address maintenance, cleanliness, safety, or supply issues.

  • Maintain trailer inventory including snacks, beverages, PPE, office supplies, and comfort items.

  • Coordinate with facilities and construction teams regarding trailer placement, power, HVAC, lighting, and repairs.

  • Respond quickly to operational issues such as outages, equipment failures, or access problems.

Employee Support & Experience

  • Create a positive environment for employees working in rugged or temporary conditions.

  • Support incoming employees by offering orientation to trailer layouts, amenities, safety information, and communication channels.

  • Coordinate onsite engagement initiatives such as catered lunches, hydration stations, wellness items, or appreciation events.

  • Monitor morale and proactively escalate any concerns about working conditions.

Vendor Coordination

  • Source, onboard, and manage local vendors for cleaning, catering, supply replenishment, HVAC services, trailers, and portable restrooms (when applicable).

  • Ensure vendor performance meets safety, timeliness, and quality expectations.

  • Review invoices and manage regular service schedules.

Safety, Security & Compliance

  • Serve as the first point of contact for safety concerns within the trailer area.

  • Ensure compliance with badge access, visitor logs, safety protocols, and emergency procedures.

  • Escalate unauthorized activity or access concerns immediately.

  • Partner with security teams and construction teams to maintain a safe environment.

Mail, Packages & Logistics

  • Receive and distribute shipments, materials, PPE, and supplies coming through the trailer campus.

  • Own mail distribution procedures across all onsite trailers and temporary workspace areas.

Communications & Administrative Support

  • Maintain weekly communications to employees regarding updates, changes, weather impacts, or campuswide notices.

  • Maintain signage, directional guides, and trailer/campus maps.

  • Track supply usage trends and proactive forecast needs.

  • Support Workplace Operations with special projects for Abilene and other regional sites as needed.

Qualifications

Required

  • 2+ years of experience in workplace operations, facilities coordination, logistics, or hospitality

  • Strong communication and interpersonal skills; able to support employees at all levels

  • Ability to work in a construction adjacent environment

  • Comfortable being the primary onsite operator with minimal daily supervision

  • High level of organization, follow-through, and problem-solving ability

Preferred

  • Experience supporting distributed or temporary work environments (trailers, field offices, remote sites)

  • Vendor management experience

  • Familiarity with safety protocols, emergency response, or site access control

  • Ability to lift up to 25 lbs. for supply runs or trailer resets as needed
