Position Summary:
We have an exciting opportunity to join our team as a Senior Administrative Manager.

In this role, the successful candidate is reporting to the Department Administrator. The Senior Administrative Manager oversees operational activities and ensures adherence to policies and procedures for the Department of Obstetrics and Gynecology, with a particular focus on the Departments research mission. The successful candidate will provide comprehensive administrative management across the Department and collaborate closely with institutional partners including the Office of Science and Research, Finance, Human Resources, Faculty Records, Medical Staff Services, Legal, Payroll, Compliance, the Office of Mentoring and Professional Development, MCIT, and RED+Fwhile identifying and implementing opportunities to optimize processes and procedures.

Job Responsibilities:

  • Provides leadership and oversight for departmental administrative activities in alignment with priorities set by the Department Chair and Vice Chair for Research.
  • Serves as the administrative lead for the Department's research mission and, in collaboration with the Research POD, oversees pre- and post-award research administration processes.
  • Participates in strategic and business planning activities and develops and maintains metric reporting, including use of the institutional Analytics Dashboard.
  • Supports the Department Administrator in faculty recruitment and contract activities and serves as liaison to the Office of Legal Counsel and Medical Staff Services on all credentialing matters.
  • Manages HR-related functions, including faculty recruitment, onboarding, timekeeping, terminations, promotions, leaves of absence, visas, and payroll.
  • Coordinates the activities of the Department Appointment and Promotions Committee (DAPC) and manages processing of faculty appointments and promotions. Ensures compliance with annual mentoring letters and required third- and sixth-year reviews for tenure-eligible faculty, and serves as liaison with the Faculty Records Office on all faculty appointment-related matters.
  • Establishes and maintains strong working relationships with NYU Langone Health administrative departments, including the Office of Science and Research, Finance, Human Resources, Faculty Records, Medical Staff Services, Legal, Payroll, Compliance, the Office of Mentoring and Professional Development, MCIT, RED+F, and other relevant areas.
  • Provides oversight of payroll and MyTime for multiple locations, ensuring timely resolution of payroll, timekeeping, and time-off issues and discrepancies.
  • Assists with annual space surveys and coordinates facilities-related issues within the Department.
  • Directly supervises the Senior Research Coordinator and Credentialing Specialist, including workload oversight, performance management, and support for professional development.
  • Communicates new or revised institutional and departmental policies and procedures to relevant stakeholders and ensures appropriate dissemination and understanding within the Department.
  • Fosters a collaborative environment by sharing information, tools, and resources to support departmental goals.
  • Performs other related duties as assigned.

Minimum Qualifications:
To qualify you must have a Minimum of five years management experience in a clinical department ; excellent communication skills and computer skills

Preferred Qualifications:
Bachelor's degree in business, health care administration, or related field . Excellent written and oral communication skills. Ability to prioritize effectively and handle shifting priorities professionally. Ability to think systemically and understand the implications of policies and practices. Ability to anticipate problems and take decisive action. Possess strong customer service and problem-solving skill sets and is detail oriented. Proficiency in using Microsoft Office applications such as Word, Excel (including advanced functions, such as complex formulas, pivot tables, graphing), PowerPoint and Outlook.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $152,240.27 - $178,869.60 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
