Position Overview

Horseshoe Bay Resort is seeking a meticulous and organized Uniform Coordinator to oversee our comprehensive employee apparel program. In this essential role, you will be responsible for the professional image of our team by managing high-volume inventory and coordinating uniform distribution for seasonal, H2B, J1, and full-time staff. This position requires a blend of administrative precision, inventory management, and high-level customer service to ensure all associates are prepared for their roles.

Key Responsibilities

Inventory and Asset Management:



  • Procurement: Manage uniform ordering processes and maintain precise records of sizes and stock quantities.
  • Quality Control: Oversee the receipt and inspection of all shipments to ensure vendor compliance and item accuracy.
  • Tracking: Maintain a clean and efficient workspace while utilizing established systems to track inventory and department-specific requirements.


Administrative and Financial Accountability:



  • Payroll Coordination: Prepare and submit accurate payroll deduction forms for uniform issuances and ensure appropriate charges for lost or damaged items.
  • Separation Logistics: Track uniform returns during employee off-boarding and calculate replacement costs for unreturned property.
  • Reporting: Maintain detailed documentation for audit purposes and internal financial tracking.


Staff Support and Collaboration:



  • Distribution: Coordinate seamless uniform issuance for a diverse workforce, serving as the primary point of contact for the uniform room.
  • Interdepartmental Synergy: Collaborate with department leaders to anticipate staffing needs and resolve discrepancies with approved vendors.
  • Process Improvement: Assist in the continuous refinement of distribution systems to support resort-wide operational excellence.


Candidate Qualifications

Skills and Experience:



  • Professional Experience: Previous experience in inventory management, uniform services, or administrative coordination is preferred.
  • Technical Proficiency: Strong computer skills are required, including the ability to manage spreadsheets, professional email correspondence, and internal tracking software.
  • Attention to Detail: Exceptional accuracy is vital for managing complex documentation and financial forms.
  • Communication: Excellent interpersonal skills with a service-oriented approach to support a diverse, multicultural staff.


Operational Requirements:



  • Adaptability: Ability to manage multiple competing priorities in a fast-paced environment.
  • Independence: Proven ability to work with minimal supervision while maintaining high standards of accountability.
