The Office Specialist, Senior in Housing, Facilities Operations, reporting to the Office Manager of HMS, performs a variety of complex office and clerical support duties in direct support of maintenance and custodial operations for all Housing & Residential Life buildings. This position may require driving University vehicles and/or golf carts.
Housing & Residential Life (Housing), a self-funded auxiliary housed within Campus Life at the University of Arizona, operates 23 dorms and 1 graduate apartment complex that house over 8,000 students annually on the University of Arizona Main Campus. More than 80% of on-campus residents are first-year students. Our dorms range in style from historic to modern and range in size from 60 to 1000 residents. | Duties & Responsibilities |
DUTIES AND RESPONSIBILITIES:
- Plans and coordinates Student Maintenance
Assistants hiring including onboarding, training, monitor and approve student payroll, student employee record tracking, uniform inventory and ordering for up to 50 students. - Plans and coordinates activity of office and
shop students staff including training of practices and procedures regarding work requests, related data entry and report generating requirements. - Collection/archiving and updating of data and
the preparation of reports. - Prepares and coordinates production of various
work request activity and related reports, including all damages, weekly and monthly damage counts. - Monthly AED data preparation, collection and submitting
on Risk Management system program. - Responds to all Fire Safety requests which
include weekly and monthly fire pump testing and tracking, as well as Fire Safety call outs and reporting. - Provides oversight of the damage matrix and
ensures updates and dispersed as required. - Acts as primary office contact to Housing
& Residential Life and University staff requesting assistance and purchasing activity; investigates and follows-up on problems, as necessary. - Provides computer and clerical assistance for
supervisors and staff as required, including correspondence and file maintenance. - Prepares and coordinates production of various
work request activity and related reports; prepares purchasing documents for processing. - Assists in planning computer assisted
programming that supports facility operations. - Update organizational charts and employee
phone lists. - Prepare, laminate and distribute signs and
employee schedules. - Schedule staff interviews.
- Print and prepare interview packets for
interview committee members. - Investigates, evaluates, and resolves typical administrative
problems or situations impacting work units, including reviewing, analyzing and researching purchase orders, invoices, contacts, and other documents for completeness, accuracy, and conformity within established procedures, collects data to maintain such records. - Maintain stock of and orders office supplies
as appropriate. - Serves on departmental committees.
- Provides backup for other departmental support
staff as necessary. - Create work orders for residents and staff.
Also, close work order batches when completed. - Assists with various departmental activities
during the August student move-in process. - Performs related duties as assigned or
required to meet Housing & Residential Life and University goals and objectives.
SUPPLEMENTAL REQUIREMENTS:
- Housing & Residential Life is a security sensitive department, and this position requires a finger-print criminal background check.
- Motor Vehicle Division check.

| Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Minimum of 5 years of relevant experience required.
- Must have a valid driver's license and ability to drive according to the University Fleet Safety Policy.

- Office/clerical experience which includes one year in a directly related function.
- Proficiency in Spanish, both verbal and written.
- Experience working with database software applications.
- Experience working in a high-volume maintenance/construction/customer service environment.
