About the Department:


Student Health Services (SHS) provides health care services at George Mason University. SHS provides primary care services and health promotion to eligible students at Mason, including but not limited to initial and follow up assessment, history taking, physical exam of patients, utilization of differential diagnosis, appropriate interventions, consultations and referrals as indicated, and basic emergency treatment and stabilization. Staff provide services to faculty, staff, and visitors on an as needed basis. SHS operates its main clinic on the Mason Fairfax Campus and smaller clinics on the Mason Square (Arlington) and SciTech Campuses (Prince William).


About the Position:


This position serves as a point of contact for students regarding immunization requirements, providing guidance, addressing questions and resolving concerns both in person and by phone. This position also manages highvolume phone and email communications, ensuring timely, professional, and accurate responses that support effective information flow and strong customer service. The assistant schedules vaccination appointments, reviews immunization records and/or exemption documentation for incoming students. This position completes data entry of student records and processing of uploaded documents, in accordance with existing SHS immunization and tuberculosis compliance procedures/policy; Identifies students who are non-compliant and notifies them of their status. The assistant provides effective communication and interpersonal skills, demonstrating a high degree of diplomacy, courtesy, and a high level of confidentiality when interacting with students, staff and the public. This position provides follow-through and time management skills, with the ability to prioritize and manage multiple tasks with accuracy, and the capacity to work both independently and collaboratively with SHS team members. This position is also proficient with basic PC skills, including Microsoft office Suite and accurately utilizes the EHR for documentation.


Responsibilities:



  • Manage highvolume phone and email communication with timely, accurate, and professional responses;
  • Schedule vaccination appointments;
  • Review immunization records and process student immunization data; and
  • Identify and notify noncompliant students.


Required Qualifications:



  • High School diploma or GED;
  • Experience typically obtained in 1 year in a medical setting, preferably in college health or working with college students;
  • Experience providing customer service in an office or reception environment;
  • Experience utilizing Microsoft office including Excel and Outlook;
  • Demonstrated effective interpersonal and communication skills;
  • Demonstrated organization skills with ability to handle multiple tasks; and
  • Experience with EHR and managing of confidential information.


Preferred Qualifications:



  • Associate's degree or equivalent combination of education and experience;
  • Experience typically obtained in 1 year as an Administrative Specialist in an outpatient setting;
  • Experience working with college aged students;
  • Experience in a healthcare or university clinic setting; and
  • Experience with Immunization schedules.
