Monday - Friday; 8:00am - 5:00pm. Work schedule may vary to accommodate the staffing needs of the Corporate Training and Executive Education operation. Schedule may vary to start as early as 7:00 am, and as late as 9:00 am. Flexibility is a must. Must have a car and be able to travel to meetings, and offsite corporate locations, as required. Office is located at The Dubois Center at
UNC Charlotte Center City. |
| Primary Purpose of Position |
The position of Program Coordinator, Corporate Training and Executive Education will be responsible for coordinating the detailed administrative support and assisting with the management of corporate client relationships for effective and financially viable continuing education (non-credit) instructional programs. This position will assist the Director and Business Development Directors of Corporate Training and Executive Education with the implementation of all program logistics, marketing, and registration from start to finish. Duties include (but are not limited to) communicating by phone, email and in-person about various program details; participating in planning meetings with staff, program materials, such as name tents, certificates, flipcharts, markers, textbooks, and handouts; managing on-site, offsite and online classroom needs, creating, distributing and following up on outstanding invoices, tracking program budget expenses, reserving training space, ordering catering, and assisting with a variety of logistical arrangements. This position may be required to act independently and as a member of a team in a busy environment, must possess strong oral and written communication skills, be extremely detailed-oriented, highly organized, and be able to handle multiple priorities and meet overlapping deadlines. The team member will need to demonstrate proficient working knowledge of Microsoft Office Suite, Google Apps, Canva, DropBox, Canvas and Zoom, with the ability to learn new software applications. This position requires accountability as the employee is often required to be the first to arrive to ensure that the training space/classroom is set up and ready for the participants and instructors. |

Required Minimum Qualifications:
Bachelor's degree; or equivalent combination of education and experience. All degrees must be received from appropriately accredited institutions.

| Other Work Responsibilities |
This position will be responsible for traveling to local offsite corporate locations. Must be able to box up, carry and take course materials to corporate locations, prepare classroom set-up, and open up classes. Responsible for attending offsite events as requested by Corporate Training and Executive Education staff. |

- Proven ability to coordinate programs and services from start to finish, including detailed logistics, and classroom or event setup needs
- Strong customer service and relationship management skills in a sales-driven environment, working with a variety of stakeholders.
- Highly organized, detail-oriented, and able to manage multiple priorities, projects, and overlapping deadlines with professionalism
- Experience with budget tracking, invoicing, purchase orders, ordering supplies, and other finance-related administrative support
- Excellent problem-solving, multitasking, and communication skills with a wide variety of customers and stakeholders
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google tools (Drive, Calendar, Email, Sheets, Docs), with the ability to learn new systems quickly
