The University of Georgia College of Veterinary Medicine, founded in 1946, is dedicated to training future veterinarians, providing services to animal owners and veterinarians, and conducting investigations to improve the health of animals as well as people. Position Summary
The Veterinary Teaching Hospital ( VTH) HR specialist will provide support to approximately 300 staff members of the Veterinary Teaching Hospital within the College of Veterinary Medicine. This position works within the HR department to be the first level of support in receiving visitors, answering phone calls and responding/sending general emails to employees throughout the hospital. The HR Specialist will hold responsibilities such as assisting with bi-weekly payroll audits and timecard entry, maintaining onboarding and off-boarding procedures, maintaining staff email listserv data, entering position information into the position management system, verifying job references, including other general HR tasks. The VTH HR Specialist works to ensure the efficient organization of the human resources office to create positive business relationships throughout the hospital.
Knowledge, Skills, Abilities and/or Competencies

  • Working knowledge of office practices and procedures, including proficiency with office machines such as copier, scanner and faxing equipment.
  • Strong typing and keyboarding skills and ability to work in a multi-window, multi-application environment.
  • Exceptional ability to learn new software programs in a short period of time.
  • Proven experience with Microsoft Office Suite, especially MS Word, Excel and MS Outlook.
  • Proven organizational skills in prioritizing time with the ability to work on multiple projects simultaneously.
  • Ability to use discretion with confidential information and the use of independent judgment.
  • Ability to communicate, both verbally and in writing, complex issues in a manner that supports effective customer service, but also in compliance with UGA policy.
  • Able to successfully work within an academic setting that requires communication with multiple stakeholders such as staff, upper administration, students and faculty.
  • Exudes confidence and professionalism and will understand the dynamics of a business office.
  • Understands general employment law relating to payroll standards, hiring processes and employee relations.

Duties/Responsibilities

  • Provide first point of contact support to visitors, callers and emails in assisting with general to specific human resources needs.
  • Processes staff hiring, terminations and adhoc salary adjustments in the payroll system.
  • Monitor clock times and absence requests to ensure timecard approvals and leave requests are at the appropriate hours per pay period.
  • Find time errors and resolves all issues prior to confirming payroll.
  • Assist with employees and supervisors of needed corrections of errors that would impede proper payment to employees.
  • Proactively run reports and queries to ensure all employees are set up correctly in OneUSG Connect (i.e. reports to supervisor, time and absence approver, and HR department) to avoid payroll errors.
  • Process funding changes prior to payroll processing.
  • Assist with submitting termination requests in system after off-boarding is completed.

  • Provide customer service daily to supervisors as well as existing, potential and former employees, faculty, and students and route advanced HR issues to the Sr. HR Manager accordingly.
  • Assist with newly-hired, employee onboarding sessions and subsequent follow up on needed documents and training.
  • Assist with offboarding employees
  • Processes and records staff injury reports thru UGA injury system.
  • Enters position description information into the UGA position management system.

  • Maintain filing systems, update pertinent employee information for compliance to federal, state and local employment laws.
  • Orders access or grants access to building entry and software applications for new hires and send appropriate requests to close access upon their termination.
  • Maintains hospital staff listserv to ensure accuracy in messages routing to staff.
  • Assist with various needs and special projects within VTH Human Resources.
