Position: Project Coordinator

Location: Round Rock, Texas

We are seeking a Project Coordinator to provide administrative and project-related support. This role is critical to ensure smooth project execution by providing project administration, cost controls, invoicing, and related support activities for multiple project managers. The ideal candidate is proactive, engaged, detail oriented, and thrives in a collaborative environment. They are self-reliant, organized, and capable of balancing technical excellence with team efficiency to produce high quality work products



Responsibilities

    Lead project invoicing activities, including tracking budgets, gathering, and validating financial data, preparing draft invoices, and submitting final invoices in accordance with contract requirements.
  • Review and interpret contract payment provisions to ensure accurate billing, including verification of labor categories, rates, allowable expenses, and compliance with clientspecific invoicing procedures.
  • Coordinate directly with clients on invoicing questions, documentation needs, and paymentrelated followup to support smooth financial management and strong client relationships.
  • Support administrative project functions at the direction of multiple project managers, ensuring consistent communication and timely execution of project tasks.
  • Maintain and manage individual access permissions to SharePoint and oversee project documentation and records in SharePoint or other internal and clientdirected systems.
  • Facilitate project team communication by coordinating meeting schedules, preparing meeting minutes, and developing project forms and templates.
  • Perform other duties as assigned to support project delivery


Qualifications

  • An Associates Degree or equivalent with an emphasis in Business, Accounting, or a related field.
  • Minimum of 5 years of progressive experience in accounting, project administration, or similar roles.
  • Command of MS Excel and MS Word.
  • Strong understanding of invoicing, contracts, project administration standards, and quality control practices.
  • Excellent communication skills with the ability to interface with internal and external clients.
