Overview

DecisionPoint Corporation is seeking a Proposal Coordinator to join our team! The Proposal Coordinator supports DecisionPoint's Proposal Development Team in planning, developing, coordinating, and producing compliant, compelling responses to Federal Government solicitations. This role assists with management of proposal schedules, organizes meetings and review cycles, enforces formatting and compliance requirements, and ensures all proposal contributors have the resources and information needed to meet deadlines.

The ideal candidate is detailoriented, highly organized, proactive, and capable of assisting with management of multiple competing priorities in a fastpaced environment.

This position is fully remote.



Duties & Responsibilities

    Attend all meetings for proposal efforts.
  • Assist in developing proposal templates, outlines, and compliance matrices.
  • Review, edit, proofread, and format proposal documents to ensure clarity, consistency, and compliance.
  • Conduct research to collect reference materials, past performance, resumes, technical content, and reusable components.
  • Coordinate creation of cover pages, graphics, tables, and visual elements for proposals.
  • Support compliance checks and ensure adherence to all solicitation instructions.
  • Assist with distribution of amendments and Q&A updates.
  • Coordinate facilities, virtual meeting rooms, and collaboration resources.
  • Manage repositories, version control, and file naming consistency.
  • Create and distribute meeting agendas, meeting minutes, etc.
  • Schedule color team review reminders: Pink, Red, Gold, and White Glove.
  • Send calendar invitations, manage RSVPs, and track review team assignments.
  • Facilitate data calls to SMEs, subcontractors, and contributors; track action items and responses.
  • Send automated or manual deadline reminders to contributors.
  • Enforce formatting standards including templates, styles, and document structure.
  • Support debriefs and lessonslearned activities.
  • Assist in IDIQ tracking, task order forecasting, and maintaining contract vehicle documentation.
  • Assist with the full proposal development including:
    • Evaluation of solicitation documents and creation of required proposal file structures.
    • Creation of all required volumes according to solicitation instructions.
    • Development of questions templates
    • Creation of compliance matrices.
    • Cleaning, updating, and formatting resumes and corporate experience reference.
    • Updating boilerplate information in accordance with the specific proposal effort.
    • Updating fonts to ensure compliance requirements are met.
    • Reviewing and updating proposal documents to incorporate amendments, feedback, and requirement changes.
    • Working with the Proposal Manager to ensure compliance with proposal instructions.


Qualifications

  • 2-5 years supporting Federal Government proposals or relevant BD experience.
  • Proficiency with MS Office (Word, Excel, PowerPoint), SharePoint, Teams; and Adobe PDF.
  • Ability to work independently and collaboratively in fastpaced environments.
  • Familiarity with Shipley, APMP, or similar proposal methodologies.
  • Experience supporting IDIQ, BPA, and taskorder proposal cycles.
  • Strong editing, proofreading, and formatting skills.
  • Exceptional organizational skills, attention to detail, and consistency.
  • Ability to work under deadline pressure and prioritize effectively.
  • Ability to escalate issues appropriately to maintain compliance and schedule.
  • Strong interpersonal skills for working with multidisciplinary teams and external partners.
