Description

The Clearing is seeking a highly organized, proactive Program Support Specialist to provide day-to-day operational and coordination support to a high-visibility client front office. This role includes managing office workflow, processes, and procedures, drafting documents, and preparing briefs for senior officials. This role is oriented toward hands-on execution, operational follow-through, process improvement and daily office/program management.

In this position, you will ensure the front office runs smoothly, key priorities and deadlines are met, stakeholders are aligned, and information flows appropriately across the team. You will be embedded with the client on-site, partnering with leaders, staff, and project teams to advance mission priorities through strong operations, planning, and communication.

What You'll Do

Program & Project Coordination
  • Track milestones, deliverables, and action items for ongoing initiatives; ensure status updates and progress are communicated appropriately
  • Support program planning activities, including quarterly, monthly, and weekly coordination rhythms
  • Assist with the development of project documentation, briefings, reports, and related materials
Communication & Stakeholder Engagement
  • Serve as a central coordination point across the front office, helping ensure clear communication and alignment across internal and external stakeholders
  • Draft, edit, and route official correspondence, briefings, memos, action items, and information papers
  • Ensure communications are in DoW/DON formats
  • Maintain situational awareness of priorities, deadlines, and upcoming events to keep leadership informed
Operational Process Improvement
  • Identify opportunities to streamline workflows, strengthen organization, and reduce administrative friction across the front office
  • Implement and maintain processes, templates, and systems to support effective day-to-day operations
Front Office Operations
  • Manage daily front office operations to ensure seamless workflows, including scheduling, task tracking, documentation, and correspondence
  • Maintain calendars, coordinate meetings, support senior leaders, and prepare agendas, read ahead materials, meeting minutes, and follow-up actions
  • Coordinate travel, logistics, visitor management, and conference room scheduling
Requirements
Required
  • Bachelor's degree
  • Active DoD Secret clearance
  • 3-6+ years of experience in program support, executive support, front office operations, or related roles
  • Willingness and ability to be on-site 4-5 days per week at the client location in Alexandria, VA (occasional on-site needs in Arlington, VA)
  • Experience supporting government clients or federal programs, preferably within defense or national security environments
  • Ability to manage competing priorities and take initiative with limited direction
  • Ability to manage sensitive information with discretion and sound judgment
  • Excellent verbal and written communication skills
  • Proficiency in spreadsheet, presentation creation tools, and internet research tools; familiarity with Google Suite
  • Critical thinking/problem-solving skills, attention to detail, organizational and time-management skills, and effective written and verbal communication skills
  • Flexible and adaptable mindset to operate effectively in ambiguous, fast-paced, high-stakes client environments
  • Must be legally eligible to work in the United States, now and in the future, without the need for visa sponsorship
Preferred
  • DoD Top Secret clearance
  • Experience in a customer-facing consulting environment
  • Familiarity with government front office or Chief of Staff-style operational rhythms
  • Ability to anticipate needs, problem-solve, and create structure in ambiguous environments

Compensation

The projected salary range for this position is between $73,667 and $103,133 annually. Actual compensation and starting salaries are determined based on various factors, including the education, experience, knowledge, skills, certifications, and clearance level of the candidate and internal equity. Once at The Clearing, movement through pay bands is based on performance. Base-annual salary is just one component of The Clearing's total compensation philosophy and approach. Physical and Mental Requirements

While performing duties of this job, an employee may be required to perform any, or all of the following: attend meetings in and out of the office, travel (sometimes extensively); occasional evening and weekend work may be required as job duties demand; communicate effectively (both orally and in writing); ability to effectively use computers and other electronic and standard office equipment; and occasionally exerting up to 10 pounds to lift, carry, push, pull, or otherwise move objects, including the human body. Work is primarily sedentary and involves sitting for several hours at a time. Occasionally walking, climbing stairs, and standing occur in this role. Additionally, this job requires certain mental demands, including the ability to use judgment, withstand moderate amounts of stress, and maintain attention to detail.
