Job Summary


The Administrative Coordinator will be oversee a number of operational functions in support of the Interventional Cardiology Labs (Cardiac Catheterization and Electrophysiology). This role will be the primary liaison between UCSF West Bay and UCSF Stanyan Hospital with a primary focus on Interventional Cardiology procedures. This role will be responsible for the coordination and scheduling of outpatient interventional cardiovascular procedures at UCSF St. Mary's Hospital; ensuring appropriate authorization has been obtained and documented; communicating with referring and performing providers, patients, and other UCSF peers or administrative teams; daily review of outpatient and any inpatient requests; maintaining a collaborative effort with the UCSF revenue management team and other key stakeholders to ensure appropriate and accurate billing reconciliation and supply utilization; working with department based leadership at both sites to ensure operational efficiency and productivity. This role will also be the operational back-up support to peers in the Gastrointestinal Department during times of vacation, leave, or sick call in a similar liaison capacity

Department Description

The Interventional Cardiology Department serves patients in need of cardiovascular services including coronary angiography, heart catheterization, pacemaker implantation, cardiac arrythmia ablation, valvular heart disease corrective procedures, and other interventional cardiovascular diagnostic testing. The lab footprint at UCSF St. Mary's Hospital encompasses three labs on one floor. These labs service primarily outpatient scheduled procedures with a limited amount of inpatient testing.

Required Qualifications


  • Minimum one year relevant experience
  • Familiarity of clinic medical billing practices including coding, billing systems and documentation requirements. Knowledge of procedural areas and patient care workflows and processes.
  • Demonstrated understanding of medical terminology and clinical knowledge of clinic practice area.
  • Working knowledge of medical center policies and procedures and related legislative, accreditation, licensing and compliance environments.
  • Strong communication skills; includes verbal, written and active listening.
  • Ability to clearly and concisely communicate clinic rules and regulations.
  • Demonstrated interpersonal skills with diverse staff and patients.
  • Demonstrated ability to develop working relationships within clinical team.
  • Proven organizational skills and the ability to effectively manage time and prioritize tasks.
  • Ability to meet tight deadlines and manage several projects simultaneously, respond rapidly to conflicting priorities, and handle tasks with high degree of accuracy.
  • Ability to perform all commonly applicable functions in word processing and spreadsheet software.
  • Skills in data management.
  • Ability to use relevant healthcare and clinic operations information technology, including billing systems and medical record documentation.
  • Current outpatient scheduling experience in a hospital-based procedural setting requiring the coordination of multiple stakeholders, vendors, and other allied health services.
  • Epic, Epic Optime, Epic Cadence, and Cerner proficiency
  • Knowledge of Interventional Cardiovascular Procedures
  • Knowlege of Lawson ordering and billing
