The Center for Precision Psychiatry (CPP) within the Department of Psychiatry at MGB integrates research and clinical practice to enable more accurate risk prediction, targeted prevention, precise diagnosis, and effective treatments for psychiatric disorders. A major focus of the Center is addressing the problem of suicide through a learning health system approach, including the prediction and prevention of suicidal behaviors and the care of patients across all areas of medicine who are affected by this growing public health crisis.
The CPP Program Coordinator provides key administrative support for the CPP's leadership, faculty and staff, under the direction of the Program Director and in close collaboration with the Center Director. A primary responsibility, among several strategic initiatives, will be marketing, communication, and organization of the CPP Annual Conference on Precision Psychiatry. In addition, this role is responsible for providing administrative support, supporting operational goals to enhance Center effectiveness, maintenance of the CPP website, and ongoing social media campaigns. Attention to detail, experience in and comfort level with social media platforms (notably Twitter and LinkedIn), graphic design and presentation software skills, strong communication skills (both verbal and written) and a team-oriented attitude are requirements. Does this position require Patient Care? No Essential Functions - Assist in the day-to-day administrative tasks related to program management. Maintain accurate, organized and up to date program documentation, including CPP website, social media platforms, marketing materials, project plans and timelines, reports, and correspondence. - Provide administrative guidance and support to CPP team members as well as internal and external stakeholders. Serve as point of contact for communication through the CPP email and marketing platforms (e.g. LinkedIn), providing information, collecting feedback, and addressing inquiries. - Create professional, high-quality presentations and communications collateral (Powerpoint, Keynote, other) to be distributed broadly to internal and external key stakeholders. Assist in the preparation of presentation materials, including, but not limited to graphics, slides, folder preparation, managing inventory of handouts, etc. - Plan, lead and manage meetings and events that support CPP related goals and initiatives including but not limited to: annual conference, workshops, monthly seminars, lectures, working groups or project meetings, and community outreach activities. - Manage meeting scheduling, distributing agendas and reminders, securing meeting space and technical support (i.e, audio/visual), ordering and arranging/setting up refreshments, and transportation as needed. In addition, preparing for and setting up/supporting online meetings and troubleshooting online access for CPP team members and invited meeting participants. - Assist CPP Faculty and/or staff with travel arrangements including booking flights, accommodations, auto rental, and ground transportation reservations; prepares Travel Expense Report, Non-MGH Reimbursement Forms, and any other travel paperwork necessary to process reimbursement and submits receipts for reimbursement to conference/meeting sponsors and/or MGH as appropriate. - Support CPP Program Director in administrative aspects of hiring including job posting, scheduling interviews, processing visa requests, requesting new faculty appointments or promotions, processing non-employee requests/paperwork, new employee onboarding (Oversight responsibility for hiring is held by the Program Director) - Maintain awareness of CPP needs regarding supplies (including conference and meeting materials, clinical and office supplies); place orders for CPP as requested by Center Director's, faculty, and/or staff - Regularly check-in with CPP Program Director to review priorities, provide updates and track on new projects; maintain communication regarding any delays or issues relevant to deliverables and agreed upon project timelines. Contributes to reporting and data analysis to assess program impact and support strategic improvements. - Assist in the coordination and preparation of grants applications and paperwork, as to be dictated by Program Director and Grants Administrator - Work on special projects as requested by the Director, CPP Program Director - Maintain familiarity with all applicable Mass General Brigham guidelines Education: Experience: The General Hospital Corporation is an Equal Opportunity Employer.
