This position supports Ambulatory, Motility and Procedures.

DESCRIPTION

Under the direct supervision of the Practice Manager, the incumbent will supervise daily clinic operations with direct oversight of front/back office operations, daily clinic flow, daily clinic assignments and ensures that internal/external standards and regulations are followed. Propose changes to improve operational efficiency, resolve system issues, advise on work methods, and manage scheduling based on patient volume and template utilization. Develops and implements policies and procedures. Monitors and partners with staff/providers/PG leadership to align clinic with system goals.

Incumbent exercises independent decision making based on management and leadership skills to exercise these major functions: personnel management, leadership, communication, finance, system development/improvement.

Evaluates staff and participates or decides on hiring, performance management, and other human resources matters. Assures thorough orientation and training of all staff. Identifies and implements department specific educational opportunities for staff in collaboration with ambulatory administration. Assure work is performed in adherence to patient service standards. Participates on quality improvement teams developing new plans and programs to increase the efficiency of operations and improve integration of diverse clinic functions. Resolves escalated issues and serves as a resource in clinic. Performs or supervises administrative and revenue management functions including assisting with budgets and providing fiscal transparency to CMDs Daily engagement rounding with patients, staff and providers in clinics. Serves as a daily resource for the entire clinic. Promotes a climate of effective teamwork, communication, and collaboration. Communicates regularly with management on practice activities and on pertinent operational issues.

Supports the Clinic Manager with the oversight of all TJC requirements and QI projects throughout the department. Observe all regulatory requirements to assure ongoing compliance with UC San Diego Health System. Ensures ongoing regulatory rounding is completed, participates in rounding and ensures resolution to identified deficiencies. Aids the practice manager as a liaison with the community, industry sponsors, and professional groups to help determine the need, relevance, and effectiveness of Medicine Specialties outpatient practices.

MINIMUM QUALIFICATIONS
  • Bachelor's degree in business, healthcare administration or related area and / or equivalent combination of experience / training.

  • Three (3) years of GI/Hepatology Experience.

  • Strong knowledge of practice operations.

  • Experience and proven success in skills to effectively supervise clinicians and to manage the complex workflow and multiple priorities involved with a clinic(s)/center(s).

  • Skills to supervise support staff in clinic / center administration, and to effectively manage multiple priorities in a fast-paced, dynamic environment to include experience with daily huddle management.

  • Knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirements to include but not limited to; Tableau and Epic Reporting, Eco Time and Payroll Systems and Epic Cadence and Template Modification.

  • Basic knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to provide input to decision-making on human resources matters.

  • Detail oriented, with the ability to apply analytical and critical thinking skills to quickly analyze problems, determine appropriate level of intervention, and apply effective solutions.

  • Solid interpersonal skills for effective information exchange and problem solving with all levels of management and staff, consultants, and outside agencies.

  • Skills in written and verbal communications, with the ability to convey complex administrative, clinical, and technical information in a clear and concise manner, and to produce a variety of reports and analyses.

  • Knowledge of business software and specialized applications and data management systems used in clinic / center operations.

PREFERRED QUALIFICATIONS
  • Lean Six Sigma Certification Green/Black Belt
  • Experience in Medicine Specialties; Allergy, Immunology, Angioedema, Endocrinology and Diabetes.
  • Previous leadership role that includes managing direct reports, projected management, conducting performance evaluations, and creating/managing reports in Excel.

Pay Transparency Act

Annual Full Pay Range: $71,600 - $127,400 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $34.29 - $61.02

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
