Job Summary

Primary responsibility of this position is to support Cemex US General Counsel and direct reports in all areas of office support, including but not limited to the following: SAP research, external invoice process management, correspondence, filing, data consolidation, report preparation, research, and communication with various departments. Position has other various responsibilities as assigned.


Job Responsibilities

  • Assist Legal Department in administrative, corporate, and litigation matters.
  • Assist Cement Environmental Department in administrative matters and projects.
  • Perform administrative office responsibilities (correspondence, document comparisons, document conversions, data entry, word processing, presentations, mail services, copying, filing, indexing, organization).
  • Maintain and organize legal and environmental file systems (electronic and paper).
  • Maintain and manage offsite storage accounts (log creation, inventory submission and retrieval).
  • Manage outside vendor invoice process (vendor management, purchase order creation, internal department coordination, status tracking).
  • Create/update/maintain standard word processes.
  • Research legal and environmental matters, corporate history and other matters as necessary.
  • Prepare reports and summaries, as necessary.
  • Manage projects assigned by Legal and Cement Environmental Department personnel.
  • Plan meetings and conferences (logistics, food, training tools, audio/video, transportation, hotels, awards).
  • Work closely with other internal departments to coordinate projects.
  • Maintain confidentiality in all areas of responsibility.



Qualifications

  • Associate Degree or equivalent with some office/administrative experience preferred
  • At least 3 years experience
  • Proficient use of Word, Excel, and PowerPoint


Knowledge, Skills, and Abilities

  • Knowledge of SAP a plus
  • Some experience in a law firm or legal department helpful
  • Excellent organizational and communication (oral and written) skills
  • Self-motivated, proficient and personally accountable, with attention to detail and accuracy
  • Ability to adapt to change, handle competing priorities, meet deadlines and interact with people from all levels of the organization
  • Bilingual Spanish is a plus



Working Conditions

  • Ability to work with standard office/computer equipment
  • Capable of working in an open office environment


Physical Requirements

  • Requires walking, sitting, lifting, pushing, pulling and climbing to a significant degree
  • Job involves sitting most of the time, but also involves walking or standing for brief periods of time
  • While performing the duties of this job, the employee is regularly required to talk and hear, in order to communicate to employees/visitors
