Hourly rate 35-hour workweek: $30.22-$32.97

Position Summary:

The Marketing Data and Operations Associate plays a vital role in ensuring the effectiveness of the Marketing and Communications (MarComm) team while providing direct administrative support to the VP. This position handles scheduling and operations, coordinates data collection and reporting, coordinating operational processes, and supports key projects that strengthen team performance and decision-making. The ideal candidate is detail-oriented, proactive, and comfortable working with both data and executive-level administrative tasks.

Key Responsibilities:

Executive and Administrative Support



  • Manage calendars, scheduling, and meeting logistics for the Vice President.
  • Draft, edit, and proofread correspondence, presentations, and reports.
  • Prepare meeting materials, take notes, and track follow-up actions.
  • Handle travel arrangements, reimbursements, and expense reporting.
  • Serve as a liaison between the VP, staff, and partners, ensuring timely communication.
  • Provide event and meeting logistics support.
  • Support the creation of performance dashboards and reports for leadership.


Operations and Project Support:



  • Manage MarComm operations, including vendor invoicing, expense tracking, procurement, and contract management.
  • Maintain shared documentation, team calendars, project workflows, and reporting schedules.
  • Collect, organize, and maintain marketing data from multiple platforms (email, social media, digital advertising, website analytics, CRM).
  • Conduct basic analysis to identify trends and insights that inform decision-making and improve campaign effectiveness.
  • Assist in planning and logistics for events, meetings, and community engagement activities.
  • Support departmental requests for marketing data, reporting, and operational coordination.
  • Contribute to the development of performance dashboards and recommend process improvements for efficiency and accuracy.


Qualifications:



  • Bachelor's degree in marketing, communications, business, or a related field-or equivalent work experience.
  • 1-2 years of experience in marketing, operations, or executive support (internships considered).
  • Strong organizational and multitasking skills, with the ability to balance executive support and operational responsibilities.
  • Proficiency with Microsoft Office Suite and familiarity with tools such as Google Analytics, social media insights, email marketing platforms, and project management systems (e.g., Asana).
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Interest in nonprofit work and commitment to Children's Aid's mission of supporting children, youth, and families.
