JOB DESCRIPTION

We're looking for a confident, tech-savvy, and highly organized Executive Assistant to support multiple leaders within our People (HR) division. This role goes far beyond traditional calendaring by anticipating needs, managing multiple priorities, and bringing structure and creativity to a dynamic, fast-paced environment.

You'll collaborate with executives who each bring their own leadership style and priorities, requiring someone who thrives in complexity, loves solving puzzles, and enjoys making everything run seamlessly behind the scenes.

RESPONSIBILITIES

  • Partners with several executives across the People team to provide proactive administrative and project support.
  • Manages complex calendars and arranges travel with accuracy and attention to detail.
  • Supports large-scale virtual and in-person meetings. Sets up Zoom/Teams sessions, breakout rooms, and presentations.
  • Prepares polished correspondence, reports, and presentation materials and assists with slide creation, formatting, and visual storytelling.
  • Tracks key deliverables, follows up on action items, and ensures leaders stay organized and informed.
  • Acts as the connective tissue across teams by anticipating needs, flagging potential issues, and keeping communication flowing.
  • Assists with project coordination, event planning, and cross-functional initiatives within the People team.
  • Serves as a trusted liaison, handling confidential information with discretion and professionalism.
  • Provides a bridge for smooth communication between internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritizes and manages multiple projects simultaneously, and addresses issues in a timely manner.


QUALIFICATIONS

  • 1+ years of experience in an administrative, coordinator, or executive assistant role.
  • A strong command of Microsoft Office and virtual collaboration tools (Zoom, Teams, SharePoint, etc.) with experience supporting presentations and facilitating large scale meetings highly preferred.
  • Tech-savvy problem solver who enjoys finding better, smarter ways to get things done.
  • Excellent communication skills and a polished, professional approach and good judgement.
  • Comfort navigating different personalities, shifting priorities, and competing demands.
  • Ability to think ahead, manage multiple tasks simultaneously, and keep things running smoothly with excellent time management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong critical thinking and analytical skills.
  • Ability to maintain confidentiality in a variety of matters.
  • Ability to accurately prepare and maintain records, files, and reports.

Base Pay Information

The national base pay range at the end is a good-faith estimate of what Delta Dental may pay for new hires. Actual pay may vary based on Delta Dental's assessment of the candidate's knowledge, skills, abilities (KSAs), related experience, education, certifications, and ability to meet required minimum job qualifications. Other factors impacting pay include prevailing wages in the work location and internal equity.
Pay Grade 18. $56,900 - $119,200.
