Job Summary

The Loudoun County Health Department is seeking a skilled, independent, and highly motivated individual to join our team to supervise the administrative and front desk operations at our Ashburn, VA location. This is a new full-time role with core work hours of Monday-Friday, 8:30 a.m. to 5:00 p.m.

As a Customer Service Supervisor, you'll play a key role in protecting and improving the health of Loudoun County residents. This is a meaningful opportunity to make a direct and lasting impact in our community.

Key responsibilities include, but are not limited to:

  • Supervises front counter, medical reception operations.
  • Follows standard operating procedures to assure accountability and accuracy of billing and cash handling operations.
  • Supervises staff, including assuring appropriate training and competency of staff.
  • Evaluates assigned staff performance in accordance with County and Human Resources (HR) policies; provides regular feedback; completes appraisals of performance; ensures staff adheres to all applicable policies and procedures of the Department and of the County.
  • Coordinates services, policies, procedures, and staffing to meet service demands.
  • Manages confidentiality of personally identifiable information and/or client medical information in accordance with HIPAA and applicable privacy regulations.
  • Provides courteous and timely customer service to County staff, vendors, visitors, and the public.
  • Manages all aspects of multi-line telephone system for office; answers, screens, and transfers incoming calls to the proper inter-department staff or outside agency with courtesy and consideration to the situation.
  • Manages of fleet of vehicles used by staff for conducting county business.
  • Reconciles laboratory billing.
  • Operates electronic health record systems.
  • Completes safety checks of facility. Completes work orders for maintenance and repairs.
  • Resolves customer problems and concerns, including issues involving difficult clients.
  • Reconciles daily billing, collections, and deposits.
  • Processes client checkout and payments.
  • Uses automated systems and other software to effectively serve customers and work with programs.
  • Determines, collects and processes program fees according to defined processes and policies.
  • Manages file room, including the appropriate filing and storage of client records.
  • Ensures efficient and effective use of County equipment and property, in accordance with all applicable policies and procedures.
  • Performs other duties as assigned.
Hiring salary is commensurate with experience.


Minimum Qualifications

High School diploma or equivalent; four (4) years of related work experience.

Preferred Qualifications:

  • Associate's degree or higher in a related field.
  • Supervisory experience in a medical practice.
  • Medical reception experience.
  • Public Health experience.
  • Experience working with medical billing and coding.
  • Experience working with electronic health records.
  • Excellent customer service skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Fluent in both English and Spanish.

Job Contingencies and Special Requirements

  • Complete pre-employment background which includes criminal, credit, and DMV checks.
  • Valid driver's license and good driving record (driving records may be reviewed annually for continued qualification).
  • Complete FEMA ICS Certifications 100 and 700 within six (6) months of hire.
