Job Summary


The anticipated duration of this assignment is 3 months.

The Hospital Assistant III plays a key role in supporting patient care within the Department of Otolaryngology - Head & Neck Surgery. Under the supervision of the Nursing Supervisor and in collaboration with the clinical team, this position assists with direct patient care, clinical procedures, and operational support to ensure high-quality service and positive patient outcomes.

This role is based in outpatient clinic settings across UCSF Health and requires strong clinical, communication, and organizational skills.

Key Responsibilities:

Clinical Support

  • Perform routine clinical functions including vital signs, height, weight, pain screening, and documentation of chief complaints.
  • Assist nurses and providers with exams and procedures.
  • Support complex in-clinic medical procedures and diagnostic testing (e.g., nasal endoscopy, laryngoscopy, laser procedures, ultrasound).
  • Prepare and clean instruments for sterile processing; maintain appropriate logs.
  • Obtain and process specimens according to policies and procedures.
  • Provide patient and family education and document in the electronic health record (EPIC/APeX).
  • Maintain compliance with infection control, safety, and UCSF policies.

Communication

  • Demonstrate professionalism in all telephone and in-person interactions, following UCSF service standards.
  • Notify providers and patients of delays; act as a patient advocate to support efficient clinic flow.
  • Assist patients with concerns and escalate issues appropriately.
  • Document patient information, medications, allergies, and test results in APeX.
  • Facilitate interpreter services and referrals to providers as needed.

Operations & Maintenance

  • Maintain clean, well-stocked exam rooms, hub rooms, and labs.
  • Order and track supplies and lab equipment.
  • Obtain insurance authorizations for medications, procedures, and diagnostic services.
  • Schedule complex procedures and coordinate services for patients.
  • Participate in quality improvement and customer service initiatives.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Minimum 6 months of experience as a Medical Assistant/Hospital Assistant in a medical practice.
  • Current American Heart Association CPR certification.
  • Experience working in an ambulatory clinical setting.
  • Knowledge and abilities necessary for performing clinical duties.
  • Strong customer service and interpersonal skills.
  • Experience documenting in an Electronic Medical Record.

Preferred Qualifications


  • Completion of an approved Medical Assistant program, or equivalent combination of training and experience.
  • Prior experience in Otolaryngology-Head and Neck Surgery (OHNS) specialty settings.
  • Hands-on experience with medical instrumentation, including endoscopy scopes and related equipment.
  • Experience using EPIC/APeX.
  • Bilingual or multilingual skills (Spanish, Cantonese, Russian preferred).
  • Experience with insurance authorizations and pharmacy interactions.

License/Certification


  • Current American Heart Association CPR Certification
