What this job involves - The Workplace Services Coordinator + Mailroom Services Hybrid serves as the friendly face of our facilities team, ensuring work spaces remain pristine, functional and welcoming. With a focus on operational rigor, you'll maintain a visible presence on campus, delivering services with speed and responsiveness while building strong relationships through effective integration with everyone you encounter.

As our frontline problem-solver, you'll embody pro-activity by addressing customer concerns and facility issues before they escalate. Acting as our vigilant presence throughout campus, you'll help the team respond faster, close work orders more efficiently, and demonstrate accountability by meeting all Service Level Agreement (SLA) commitments.

What You'll Do:

  • Create Exceptional Spaces - Maintain conference rooms, common areas, and work spaces with operational rigor, including removing clutter and ensuring space readiness for optimal productivity

  • Deliver Outstanding Customer Service - Address inquiries and solve problems with speed and responsiveness, ensuring client satisfaction and positive experiences

  • Manage Work Orders - Track tickets, assign tasks, and verify completion within SLA requirements, demonstrating accountability for service excellence

  • Conduct Regular Site Inspections - Proactively identify and address issues before they impact the workplace experience

  • Support Special Events - Assist with power needs and supplies for campus events within your building assignments, integrating across teams and departments

  • Maintain Supply Inventory - Ensure work spaces are fully stocked and ready for use with a cost conscious approach to resource management

  • Drive Continuous Improvement - Apply data-driven insights to identify opportunities and implement future-forward enhancements to service delivery

  • Process, sort, and distribute all incoming and outgoing mail, packages, and deliveries with speed and responsiveness while maintaining accurate electronic logs and records with operational rigor

  • Research delivery tracking information and resolve any mail or package-related issues for clients, taking accountability for complete mail service management

  • Maintain organized mail room operations including regular inspections and proactive inventory management of supplies

  • Ensure compliance with postal regulations and procedures while handling sensitive mail with appropriate care and attention to detail, reflecting operational rigor

  • Identify and implement process improvements to increase efficiency in mail operations using data-driven insights and cost conscious approaches

  • Support reception duties as needed, creating positive first impressions through exceptional customer service while managing visitor tracking and security access with speed and responsiveness

What You Bring:

  • 2-3 years of administrative, facilities management, or hospitality experience

  • Technology proficiency with Microsoft Office or Google Workplace Suite

  • Strong communication skills and customer-focused mindset that facilitates integration across teams

  • Problem-solving abilities and attention to detail demonstrating operational rigor

  • Self-motivation with exceptional organizational skills and accountability for outcomes

  • Proactive mindset to anticipate and address workplace needs before they become issues

  • Understanding of Cost Conscious resource management principles

  • Ability to gather and apply data-driven insights to improve workplace experience

Physical Requirements:

  • Ability to walk campus throughout the day

  • Capacity to lift or move objects up to 50 pounds

  • Valid driver's license for operating company vehicles

  • Knowledge of current postal codes, procedures, and regulations

Estimated compensation for this position:

57,000.00 - 66,560.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
