Smart Square System Specialist

GENERAL SUMMARY:

Provides ongoing software support for all end-users within Bryan Health. Reviews all end-user emails or phone calls to research, respond to, and resolve. Empowered to work directly with American Mobile Nurses (AMN)'s Smart Square technical support team for any additional support in researching or resolving end-user needs. Responsible for project management of any new and changed software functionality releases performed monthly. Conducts testing for all configuration changes, performs research and ongoing configuration activities and creates custom reporting as needed. Responsible for all Health System end-user training. Provides answers to users regarding system functionality or workflow questions. Stays updated on all newly released or changed functionality. Responsible for project management and implementation of any new units and departments on the system.

PRINCIPAL JOB FUNCTIONS:

1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values.

2. *Manages troubleshooting and support for all user groups (staff, managers, shift management users, and staffing representatives), handling inquiries and collaborating with AMN's Smart Square technical support team as needed.

3. *Oversees new unit implementations and software updates. Manages project timelines, gathers essential information, performs system configuration, and provides software utilization recommendations.

4. *Continuously tests and maintains system configuration for the best user experience, supporting features like schedule periods, workload matrices, shift sets, and pay rules.

5. *Updates user access, ensures data accuracy, and manages configuration changes to address user needs and resolve issues.

6. Maintains interfaces with other medical center computer systems; coordinates with administrators of other software systems that interface with the staff scheduling software system to ensure correct data is being captured and desired results being achieved.

7. Works with managers to maintain the integrity of budget data entered into the staff scheduling software system; updates budget and staffing plans annually or as needed to provide managers/directors with accurate and immediate staff utilization and unit productivity information.

8. *Populates and generates custom and routine staffing reports based upon Manager requests.

9. *Conducts training for end-users and stakeholders, keeping them informed of new features and functional changes.

10. Regularly updates departmental policies, documents system processes, and creates custom reports based on extracted data.

11. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.

12. Participates in meetings, committees and department projects as assigned.

13. Performs other related projects and duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

1. Knowledge of staffing system applications, troubleshooting and reporting measures.

2. Knowledge of computer hardware equipment and software applications relevant to work functions.

3. Knowledge of staffing patterns, efficiencies and effective scheduling practices.

4. Knowledge of adult education principles and practices.

5. Strong communication skills, specifically the ability to translate and transfer complex technological logic/information clearly to the appropriate end-users

6. Ability to analyze problems through strong data and analytical skills, propose resolutions and enact timely corrections.

7. Ability to communicate effectively both verbally and in writing.

8. Ability to perform crucial conversations with desired outcomes.

9. Ability to establish and maintain effective working relationships with all levels of personnel and medical staff.

10. Ability to problem solve and engage independent critical thinking skills.

11. Ability to maintain confidentiality relevant to sensitive information.

12. Ability to prioritize work demands and work with minimal supervision.

13. Ability to maintain regular and punctual attendance.

EDUCATION AND EXPERIENCE:

Associate's degree required. Proficient in Microsoft Office platforms: Excel, Word, and PowerPoint required.

Prior experience to include scheduling or staffing in a health care setting, system support and/or project management preferred.
