Job Description

Raymond West is looking for a detailed Parts Return Coordinator to join our team! The Parts Return Coordinator has developed specialized skills or is multi-skilled through job-related training and considerable on-the-job experience. Completes work with a limited degree of supervision. May act as an informal resource for colleagues with less experience and identifies key issues and patterns from partial/conflicting data. The Parts Return Coordinator Takes a broad perspective to problems and spots new, less obvious solutions



The Parts Return Coordinator is responsible for managing and processing customer returns within the Parts Department. This role ensures returned items are accurately received, inspected, documented, and processed in accordance with company policies. The coordinator works closely with inventory control, customer service, and warehouse teams to maintain accurate records and ensure customer satisfaction.

Duties and Responsibilities:


Primary duties and responsibilities will vary with the specific position. Typical responsibilities are listed below. This list is not inclusive.



  • Receive and inspect returned parts for condition, accuracy, and eligibility for return.
  • Verify and process return authorization and documentation against company policies.
  • Process quarterly stock returns for all dealers, ensuring timely coordination, documentation, and inventory reconciliation.
  • Analyze unused stock and coordinate transfers between branches to meet demand and optimize inventory distribution.
  • Process returns in the inventory management system and coordinate restocking or disposal.
  • Communicate with customers regarding return status, discrepancies, or resolution steps.
  • Collaborate with the Inventory Control Manager to ensure accurate inventory adjustments.
  • Identify patterns in returns and escalate issues related to product quality or fulfillment errors.
  • Maintain organized records of all return transactions and documentation.
  • Support the Parts Department in maintaining a clean and efficient return area.
  • Assist with periodic audits and reporting related to returns and inventory accuracy.
  • Process and coordinate the return of non-stock parts within the required time frame from vendors.


Required Skills/Abilities:



  • Strong attention to detail and organizational skills.
  • Excellent communication and problem-solving abilities.
  • Excellent written and verbal communication skills
  • Excellent Organizational Time Management skills
  • Proficient in Microsoft office Suite and similar software
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Must be able to maintain effective working relationships with employees, Co-workers, and Managers in other departments
  • Must be willing to work off-hours as specific needs dictate and willing to assume more responsibility as required.


Education/Experience:


Minimum Education and Experience: Determined by position



  • High school diploma or equivalent; associate degree preferred.
  • 2+ years of experience in inventory, logistics, or customer service roles.
  • Familiarity with parts handling and inventory systems (e.g., ERP or WMS platforms).

Pay Range:



  • The hourly range for this position is $23.71 - $37.00. The specific pay offered to a candidate may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.


Qualified candidates must be able to pass a pre-employment physical and drug screen.
