General Notes

Additional hours will be required to include early mornings, evenings, weekends, and holidays. This job is not suitable for remote work and is expected to work regular on-site hours.

Purpose

Provide oversight and assist with the coordination and operations of Student Services programs and facilities. Provide administrative support to the Executive Senior Associate Athletics Director, Student Services and 4EVER TEXAS.

Responsibilities

  • Manage the day-to-day operations of the academic resource program, including ordering and distribution of course materials and laptops. Maintain inventory and ensure timely availability of resources.

  • Serve as liaison with the Business Office to ensure compliance with policies and procedures and to maintain accurate records. Manage expenditures, including processing payment requests, submission of relevant forms, coordinating access to credit cards, and reconciliation of accounts.

  • Oversee access to the UFCU Student-Athlete Academic Center access, including assisting visitors, coordinating proxy access, and hiring, training and supervising part-time monitors. Assist with facilitating connections between student-athletes and tutors /mentors to maintain structure and reliable daily operations within the center.

  • Oversee administrative operations of the UFCU Student-Athlete Academic Center, including, but not limited to, managing conference room schedules, mailing needs/coordination, and maintaining office supplies. Coordinate minor facilities updates, improvements, and assure overall cleanliness and safety within UFCU Academic Center.

  • Assist Executive Senior Associate Athletics Director, Student Services and 4EVER TEXAS staff with calendar management and scheduling of meetings. Schedule and coordinate Student Services staff meetings and assist with developing meeting agendas. Distribute meeting materials and follow up on action items, as assigned.

  • Assist in coordinating and supporting the planning, logistics and execution of Student Services and 4EVER TEXAS events, including New Student and Mid-Year Orientation, Graduation Celebration, Career Fair and Student Athlete Development events.

  • Troubleshoot basic technical problems that include student-athlete laptops, UFCU Academic Center printers, online textbook book issues, and other technological issues that may arise.

  • Other duties in assigned. Drive a UT or rental vehicle on and off campus.

  • Consistently exemplify the core values and quality service standards of Texas Athletics. Always act ethically. Proactively seek guidance when unsure or unclear of a law, rule or policy applicable to you or your department/sport program. Actively participate in assigned education and training programs. Comply with all laws, policies, rules and regulations set forth by the Board of Regents of The University of Texas System, The University of Texas at Austin, NCAA, Conference, or other governing body, including state and federal laws. Annually obtain prior written approval and report all outside activities and outside income. Report knowledge of, or reasonable cause to believe, violation(s) of state or federal laws, policies, rules, or regulations of the University, Conference, or NCAA to IA ARMCS or IA HR. Fully cooperate with any investigation by providing complete and accurate information when requested to do so by Texas Athletics and/or the NCAA and do not influence others in any way during an investigation. Required Qualifications

Bachelor's degree in business administration, education, sports management or related field. Minimum of two years of experience providing administrative or operations support within an intercollegiate athletics or higher education program. Advanced proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint). Experience with scheduling tools and database systems. Excellent organizational and time management skills, with attention to detail and accuracy. Demonstrated excellent interpersonal and communication skills to enhance interaction with student-athletes, peers, alumni, administrative personnel, and the community. Demonstrated exceptional character traits in integrity and fairness. Demonstrated commitment to The University of Texas Intercollegiate Athletics Core Values: Integrity, Excellence, Teamwork, Community Engagement, Creativity, Accountability and Loyalty. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience processing financial transactions, including expenses. Experience using Concur and/or ARMS.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).

Salary Range

$50,000 + depending on qualifications

May work around standard office conditions. Repetitive use of a keyboard at a workstation. Use of manual dexterity.
