Staffmark is seeking a professional, organized, and customer-focused Administrative Specialist to support office operations, customer communications, and internal processes.
This role is ideal for someone with administrative, HR, and bookkeeping experience who thrives in a fast-paced environment and enjoys working with people over the phone and in person.

Pay: $20-$25/hr (Depending on experience) | Shift: Day Shift | Monday - Friday, 8:00 AM - 4:30 PM

Responsibilities



  • Answer phones, provide exceptional customer service, and maintain detailed call logs
  • Coordinate staff schedules and manage the Work-in-Progress (WIP) Board
  • Prepare job paperwork for crews and estimators, including First Notice of Loss (FNOL) documentation
  • Manage job file documentation, subcontractor communications, and compliance with NAPA and third-party programs
  • Track franchise-specific compliance documents and fixed assets
  • Handle billing, accounts receivable, bookkeeping, petty cash, payroll, and Royalty Reports
  • Maintain organized file systems, company calendar, and office supplies
  • Manage incoming/outgoing mail, emails, faxes, and internal communications
  • Support HR documentation, employee onboarding, safety, and policy reviews
  • Coordinate software updates, computer backups, and website maintenance
  • Assist with marketing mailings, Continuing Education (C.E.) courses, and 6-month recalls
  • Perform other duties as assigned to support office operations and team success



Qualifications



  • High school diploma or equivalent required
  • Proven administrative experience with HR/bookkeeping responsibilities
  • Proficient in Microsoft Office and adaptable to new software
  • Strong communication, organizational, and multitasking skills
  • Detail-oriented, reliable, and professional
  • Comfortable managing phone communications with customers and staff
