The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Job Overview:

The Centralized Scheduling Team Leader ensures all staff is properly scheduling and collecting required demographic, financial, referral/authorization, clinical, and other registration data is accurately collected, verified, and communicated appropriately. Assists staff in any area of the department where immediate help is needed. Assures that all work that is generated is sorted and distributed and that the work area is kept organized and cleaned up. Facilitate the coordination of activities with physician offices, service sites and ancillary departments. Acts as the primary resource for the coordinator and fills in for supervisor when necessary. Understands and can perform all job functions of scheduling and pre-registration. Uses available tools to provide departmental quality assurance. Is a consistent, positive, reliable leader for the department and participates in evening and Saturday leadership coverage rotation to ensure completion of department tasks.

Qualifications:

Required:

  • HS diploma or GED equivalent
  • 3 years of experience as a senior Access Management staff or experience in hospital Access Management/Medical Office Management is required.
  • Good written and verbal communication skills in English are needed.
  • Must have knowledge of medical terminology, to be able to interpret medical instructions and direct staff appropriately.

Preferred:

  • Associate's Degree preferred

Scheduling Requirements:

  • Full-Time position- 37.5 hours a week
  • Hybrid, Travel to Oceanport, NJ as needed

Essential Functions:

  • Assists in the insurance section, where applicable, to ensure completion of all the daily work and statistics.
  • Always available to help where the need is warranted.
  • Assists staff in any area of the department where immediate help is needed, this includes but is not limiting to hospital scheduling, physician scheduling, pre-registration, insurance verification and follow up and pre-certification.
  • Assures that all work that is generated is sorted and distributed and that the work area is kept organized and cleaned up.
  • Always monitors the lists.
  • Assures that patients are cared for with a minimum of wait time.
  • Closely monitors the pre-registration section, where applicable, to see that all patient demographics are maintained and recorded accurately.
  • Courteously handles all problems and complaints with regard to patients, physicians and department personnel in the absence of the supervisor.
  • Fills in for the supervisor when necessary to assure cross training of staff for all areas of the department.
  • Understands and demonstrates proficiency with organizational reports.
  • Uses quality and process improvement tools to drive increase performance.
  • Assures all tasks are appropriately completed in a timely and effective fashion.
  • Has input into the department work schedule prepared by the supervisor when necessary.
  • Aids in the delegation of task assignments in the events of call outs.
  • Keeps supervisor informed at all times of any situations or problems which may need her attention.
  • Acts as a liaison between the staff and management.
  • Maintains a close working relationship with other department Senior Clerks and Management.
  • Always courteous and prompt responses given to depts.
  • Maintains own active working position while assuming the extra responsibilities.
  • Monitors the staff for courteous telephone manners.
  • Assures that calls into the department are answered and addressed effectively.
  • Works with staff to see that department phones are answered quickly, and all messages are relayed appropriately.
  • Provides a compassionate and supportive environment with prompt and consistent service.
  • Adheres to patient rights: provides for the confidential treatment of all communications and records.
  • Demonstrates professionalism with families, visitors, physicians, co-workers, and supervisors,
  • Supports teamwork by cooperative problem solving through participation in meetings, projects, etc.
  • Utilizes principles of continuous quality improvement in all work situations to assess, measure and improve organizational and department functions.
  • Organizes work sets priorities with a minimum of supervision and seeks guidance as appropriate.
  • Makes decisions that are timely and consistent with department, objectives, policies, and procedures.
  • Demonstrates sound judgment; accepts and benefits from constructive criticism.
  • Participates in ongoing education as required.
  • Meet department individual goal for upfront cash collections.
  • To clear all assigned cases in an accurate and timely manner.
  • To meeting department productivity standards on the number cases that are cleared, Payor group specific.
