Job Overview
Responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Work Model: Onsite/In-Office
Responsibilities
Essential Duties & Job Functions:
- Performs and monitors clerical, administrative and secretarial responsibilities, and tasks.
- Answers, screens and forwards incoming calls as needed.
- Coordinates office activities to ensure maximum efficiency.
- Implements filing systems and ensure filing systems are maintained and current.
- Monitors record keeping.
- Ensures security and confidentiality of data.
- Ensures office policies and procedures are being adhered to.
- Prepares operational reports and invoices as needed.
- Human Resources clerical duties (will be outlined by HR Department)
- Performs other related work as assigned.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, Power Point)
- Sending out the weekly FedEx package to Corporate.
- Copying and assembling packages for fingerprint cards for Security AFSO.
- Multitasking and time-management skills with ability to prioritize task.
- Maintain office security and controlling access via receptionist desk.
- Directs visitors by maintaining employee and department directories and office phone list.
- Maintains Security by following procedures; making visitors register at the kiosk for a visitor's badge.
- Distributes incoming mail accordingly.
- Maintains and monitors inventory of office and kitchen supplies, creating purchase requisitions for needed supplies, and checking incoming deliveries against purchase orders.
- Schedules maintenance and orders supplies for office copiers.
- Managing conference room availability.
- Orders warehouse supplies.
- Other duties as assigned.
Accountable For:
- Knowledge of effective leadership practices.
- Skill in the use of common office machinery, including copiers, fax machines and computers.
- Ability to meet deadlines and handle potentially highly stressful situations.
- Ability to create and maintain a positive team atmosphere with effective interpersonal skills and the ability to work professionally with a variety of people and personalities.
- Ability to communicate effectively orally and in writing.
- Ability to work with minimal direct supervision.
- Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries.
- Carry the portable phone when away from the Front Desk.
- Keeping the Front Desk Office organized.
Job Requirements
Mandatory:
- One (1) years experience in related work.
- Must have excellent written and verbal communication skills.
- Valid state driver's license with an acceptable driving record.
- Ability to pass pre-hire background and drug screen.
- U.S. Citizenship.
Working Conditions:
- Working in an office environment.
- Sedentary in nature and performed in an office setting.
- Work hours will be 7:00 am- 3:30 pm Monday through Friday.
Physical Requirements:
- Physical requirements are typical of an office environment.
- Occasional lifting, handling, or moving of objects without assistance weighing up to 50 pounds may be required.
- Ability to bend, stoop, reach, stand, move from one area of the building to another on a regular basis, sit and use a computer for a long period of time.
