MISSION We are seeking a highly organized and detail-oriented Service Scheduler & Quoting Specialist to manage the scheduling of service appointments, dispatch technicians, and prepare accurate service quotes for customers. This position requires strong communication skills, an understanding of service pricing, and the ability to work efficiently in a fast-paced environment. The ideal candidate will be responsible for ensuring both timely service delivery and transparent pricing, enhancing customer satisfaction. ESSENTIAL DUTIES AND RESPONSIBILITIES
Scheduling & Dispatch:
- Schedule and dispatch service technicians based on customer needs, technician availability, and geographic location.
- Maintain and update technician schedules, work orders, and service appointments.
- Communicate with customers to confirm appointments, provide status updates, and address any scheduling issues.
- Monitor technician routes and workloads to ensure optimal efficiency and reduce downtime.
Quoting Services:
- Provide accurate, timely service quotes based on customer requirements, service type, and complexity.
- Review service requests and determine appropriate pricing, including any discounts, add-ons, or special conditions.
- Prepare quotes for one-time services or recurring contracts, ensuring clarity on pricing, timelines, and scope of work.
- Collaborate with technical teams or managers to gather necessary details for complex or customized quotes.
- Communicate quotes clearly to customers, addressing any questions or concerns they may have regarding pricing and services.
- Ensure that all quotes are compliant with company pricing policies and aligned with profitability goals.
Coordination and Customer Service:
- Work with sales, service, and customer support teams to ensure the customer experience is seamless and expectations are met.
- Follow up with customers to confirm service bookings, answer questions, and provide necessary updates.
- Handle customer inquiries and complaints related to both service scheduling and quoted prices, resolving issues in a timely and professional manner.
- Track and manage open quotes, ensuring that they are converted into scheduled service jobs when possible.
- Follow up with Technicians to make sure open service orders are closed/invoiced in a timely manner.
Record Keeping and Reporting:
- Maintain accurate and up-to-date records of quotes, service appointments, and technician assignments.
- Update the company's CRM or scheduling software with all service-related information, including quotes, changes, and customer interactions.
- Prepare weekly or monthly reports on service scheduling and quoting performance, highlighting trends, challenges, and customer feedback.
Other Duties as Assigned JOB REQUIREMENTS EDUCATION
- Bachelor's degree, preferably in a Business-related field.
WORK EXPERIENCE
- Proven experience in scheduling, quoting, or administrative support in a service-based industry.
- Background knowledge of service pricing, quoting methodologies, and cost estimation.
- Proficient in Microsoft Office Suite and experience with scheduling or CRM software (e.g., Salesforce, SAP).
SKILLS OR KNOWLEDGE
- Customer service experience.
- Ability to multitask, prioritize, and manage time effectively.
- Excellent verbal and written communication skills with a strong customer service orientation.
- Attention to detail and accuracy in both quoting and scheduling tasks.
PHYSICAL ABILITY
- Office-based (remote or on-site based on managers' discretion).
- Ability to sit for prolonged periods to perform data entry
