Project Coordinator II - Indigenous Cancer Health Excellence Initiative

The Office of Community Outreach & Engagement (OCOE) is an integral component of the Consortium. It is housed at Fred Hutch in Seattle with field offices in Sunnyside and Spokane. The mission of the OCOE is to reduce cancer health disparities throughout the cancer care and research continuum by promoting relevant collaborative research and programs. The OCOE uses a qualitative and quantitative data-driven approach to identify our region's greatest needs and strategic research aims to address those needs, which are prioritized and implemented in partnership with our regional Community Action Boards and our Internal Advisory Council of leaders and faculty from throughout the Consortium.

The OCOE is seeking a Project Coordinator II who shares our mission to address cancer health disparities by using bidirectional community-engaged approaches in outreach, programming, and research. The position is based at the Fred Hutch office in Seattle with the Indigenous Cancer Health Excellence Initiative (ICHE-i). The Project Coordinator II for ICHE-i will coordinate administrative, research, and programmatic tasks in support of the ICHE-i's programmatic objectives and the U19 CANOE Partnership specific aims.

The Project Coordinator II plays a key role in advancing the work of the OCOE's ICHE-i team by leading coordination of complex projects, managing multiple community partnerships, and ensuring accountability for deliverables across multiple initiatives. Responsibilities include developing and monitoring project timelines, coordinating strategic communications, leading event planning and implementation, and supporting research and community-based projects. This role requires experience working with Tribes and/or urban Indian communities, and Tribal organizations with demonstrated knowledge of Tribal Sovereignty, governance, and community norms. The Project Coordinator II is expected to exercise independent judgement, anticipate and resolve barriers, and represent ICHE-i with internal and external partners at multiple levels.

Scope of Responsibilities:

The Project Coordinator II reports to the ICHE-i Project Manager. Works with minimal supervision, exercising independent judgment in daily responsibilities, proactively identifying challenges, and recommending solutions to ensure project goals and deliverables are met. The Project Coordinator II's primary responsibility is to facilitate and coordinate interactions with individuals and groups to support the ICHE-i in its inreach and outreach activities within the Washington State catchment area. The Project Coordinator II will support outreach implementation plans, assist in monitoring progress, communicate effectively with the ICHE-i team when roadblocks exist, assist in developing proposed solutions, and conduct daily operational work to ensure that the overall project goals and deliverables are met. The Project Coordinator II is also expected to contribute to the ongoing improvement of ICHE-i systems and processes, strengthening the team's long-term capacity to engage with Tribal partners and advance efforts to address cancer health disparities. Excellent communication and organizational skills, attention to detail, and ability to produce high-quality work within a collaborative team are critical to this position. The Project Coordinator II will perform some or all the job duties listed below.

Essential Duties

1. Project Coordination (45%)

Facilitate communications with the ICHE-i team, serving as ICHE-i liaison to Fred Hutch departments, external vendors, Cancer Consortium departments and outside collaborators.
• Support the development, facilitation, and maintenance of ICHE-i's academic, research, Tribal, and urban Indian community partnerships.
• Manage project database(s) and work with the team(s) in developing and upgrading the database to ensure maximum effectiveness for regular tracking and reporting.
• Lead the coordination of ICHE-i projects, community events, and outreach activities, ensuring alignment with timelines, deliverables, and grant requirements.
• Collaborate with the Project Manager to build and implement workflows, standard operating procedures (SOPs), and tracking systems to increase efficiency and ensure consistency across ICHE-i, OCOE, and U19 CANOE Partnership grant requirements.

2. Administrative Support (35%)

• Oversee the coordination of ICHE-i, OCOE, and U19 CANOE Partnership meetings, ensuring agendas, documentation, and follow-up activities are prepared and completed in a timely manner to support program and grant objectives.
• Manage the flow of information across ICHE-i, OCOE leadership, the Indigenous Collaborative, the U19 CANOE Partnership grant team, and community partners to maintain accountability and alignment with project goals.
• Arrange meetings with multiple community partners and institutional collaborators, ensuring effective preparation and follow-up.
• Support monitoring event expenses, ensuring that expenditures are in accordance with budget, grant/contract regulations, and institutional guidelines.
• Support project execution by tracking operational needs, flagging issues as they arise, and assisting with the development of solutions, including preparing internal reports and documentation to support ICHE-i operations and grant deliverables

3. Community Engagement (15%)

• Coordinate bidirectional communication and engagement activities with Tribes and urban Indian communities to align with ICHE-i and OCOE goals.
• Develop and implement a digital engagement strategy for ICHE-i, overseeing web, social media, and newsletter updates to strengthen bidirectional communication with Tribal partners, community members and collaborators.
• Collaborate with the CHE III on community outreach and engagement activities, including participating in community events, meetings, health fairs, and other community gatherings to foster trusted relationships.
• Develop and disseminate culturally informed materials for outreach, education, and research initiatives.

4. Research Project Support (5%)

• Support with the development and/or review of research materials which may include study protocols, consent forms, questionnaires, interview scripts, data collection instruments, and educational materials.
• Coordinate participant engagement activities and oversee incentive distribution in collaboration with project staff, ensuring compliance with research protocols and alignment with community values.
• Coordinate efforts to document and monitor community-based participatory research activities to reflect ICHE-i and OCOE values.

5. Perform other duties as assigned.

MINIMUM QUALIFICATIONS

• BA/BS in related field or equivalent experience.
• Minimum of three years post-master's or five years post-bachelor's project coordination experience in a research setting.

PREFERRED QUALIFICATIONS

• Minimum of four years relevant project coordination experience (or Master's degree plus two years).
• Valid WA State driver's license.
• Experience coordinating projects involving tribal governments, tribal organizations, or urban Indian communities.
• Experience managing multiple consecutive projects from inception to completion.
• Demonstrated excellent human relations, facilitation, and influencing skills to deal effectively with a broad range of people.
• Demonstrated experience working in diverse communities, forming strategic alliances and building partnerships to address cancer health disparities.
• High level of attention to detail and strong time management skills
• Excellent organizational skills with the ability to manage multiple projects simultaneously
• Ability to think critically and synthesize complex issues to move projects forward
• Understanding and proven ability to work with communities experiencing cancer health disparities
• Knowledge and demonstrated experience working with Tribes and/or urban Indian communities
• Understanding of provision of Tribal health services, including Indian Health Service, Contracted Health Services, and urban Indian clinical services
• In-depth knowledge of health and social issues facing Indigenous populations
• Demonstrated ability to form respectful, productive working relationships with people from diverse backgrounds
• Ability to collaborate effectively across multiple organizations and communities
• Excellent written skills, including experience drafting reports and professional correspondence
• Outstanding interpersonal, customer service, and verbal communication skills
• Demonstrated facilitation and influencing skills to work effectively with a broad range of people
• Strong working knowledge of Microsoft Office applications, specifically Word, Excel, PowerPoint, and Outlook
• Experience working in public health, community health, and health disparities research
• Familiarity with Indigenous and community-based evaluation methods
• Understanding of health communication strategies
• Experience working in an academic or scientific research environment
• Experience with IRB/Human Subjects Research
• Knowledge of principles of Community Based Participatory Research
• Skills in database creation and management
• Knowledge of Adobe Creative Suite
• Experience with REDCap, AirTable, Salesforce

The hourly pay range for this position is from $34.40 to $51.60 and pay offered will be based on experience and qualifications.
