Brief Description

The purpose of this position is to provide senior level administrative, operational and technical support to managers, supervisors, and other Brazos River Authority (BRA) team members. This is accomplished by assisting with special projects; coordinating and scheduling departmental activities; greeting customers; answering phones; serving as a liaison between supervisors and team members to expedite the completion of projects and activities; responding to general public inquiries; coordinating meetings; and managing internal and external correspondence. Other responsibilities include assisting team members in finalizing reports; managing travel arrangements and preparing travel authorization and reconciliation forms; tracking budget expenditures and maintaining budget information; managing purchase card processes, sorting mail for location, developing PowerPoint presentations; interacting with employees; preparing and transmitting reports; providing customer service to the general public; and any other duties as assigned. Other duties vary by department or location and may include preparing compliance inspection requests; filling in for the receptionist as needed and assist other departments with administrative functions as needed.; assisting with utility tracking; maintaining water data bases and water permitting processes; commercial and/or residential property management; assisting with functions of the Asset Management database.

ESSENTIAL FUNCTIONS



  • Prepares documents as needed by composing original drafts of reports, memos, letters and various other correspondence.
  • Ensures departmental correspondence is professional by reviewing and proofreading documents for supervisors and coworkers; correcting spelling, grammar, punctuation errors; and properly formatting documents.
  • Provides administrative support by maintaining files; managing incoming and outgoing correspondence; preparing outgoing mail; opening and distributing mail for the location; preparing, routing, and tracking Staff Summary Sheets for the department; monitoring supervisor's and department staff's calendars; and assisting staff with any other administrative functions as needed.
  • Coordinates meetings by sending a Microsoft Office meeting request to all required attendees to notify them of meeting dates and locations; reserving meeting rooms; initiating requests for meeting room setup; composing agendas to track meeting minutes; preparing meeting materials; distributing materials; and ordering food and/or supplies when necessary.
  • Tracks the division budget by reconciling purchasing card statements; monitoring manager's monthly expense reports; processing requisitions and purchase orders; processing payments for accounts receivable; providing instructions to peers regarding software applications; and analyzing utilities usage.
  • Assists personnel with making travel arrangements and preparing travel authorization and reconciliation forms.
  • Maintains supplies and equipment by monitoring and ordering supplies as needed; verifying the accuracy of orders when received; troubleshooting equipment problems; and maintaining office equipment.
  • Provides customer service as part of a team by answering phones, responding to general public inquiries, assisting other departments with general administrative functions and special projects, and filling in for the receptionist as needed.
  • May maintain databases related to water supplies by gathering water supply data, inputting data, and performing routine maintenance of the water database; may transmit daily operations to other resource agencies, using database software; may prepare and transmit reservoir condition reports on a weekly basis.
  • May complete post-operation records and reports of event data and may assist with the water permitting process



Job Requirements



  • A minimum of four years, or an equivalent combination of education.
  • Proficiency with Microsoft programs such as Office, Excel, Word, and Power Point.
  • Preferred: Notary Public Commission


  • High School Plus Vocational Training - Obtained with advanced study or training past high school.

STARTING SALARY RANGE

$22.07 to $28.14 per hour. This is a non-exempt position.

Today, BRA's staff develops and distributes water supplies, provides water and wastewater treatment, monitors water quality, and pursues water conservation through public education programs.
