We are seeking a Property, Calibration, and Facility Administrator to lead property inventory efforts, ensure equipment calibration, coordinate all facilities-related work requests and manage the wireless devices in the Research and Exploratory Development Department (REDD). As a Property, Calibration, and Facility Administrator, you will...

  • Lead the property management efforts at the Department level and act as the subject matter expert. This includes partnering with Group Property Associates to ensure that all APL-owned and government-owned property is accurately assigned in the record to people, locations, and organizations. You will assist in the review and approval requests of new property and ensure proper documentation when new property is received, transferred, and disposed. You will also prepare the Department for and ensure compliance with audits.
  • In collaboration with Enterprise Asset Management, as appropriate, educate REDD staff on property protocols at APL. You will ensure that all information disseminated to staff on the REDD Property and Calibration website and through other media is accurate and up to date. Manage the equipment calibration efforts at the Department level. This includes partnering with the Associate Instrument Coordinators and equipment owners to establish appropriate calibration intervals and determine risk associated with out-of-tolerance conditions. You will ensure that calibration requirements are met, calibration certificates are maintained, and that delinquent equipment is dispositioned.
  • Serve as the REDD POC for the APL Calibration Office and facilitate the delivery of equipment to and retrieval from calibration service. Track and maintain REDD's equipment calibration status to ensure all assets are calibrated timely.
  • On a monthly basis, brief REDD stakeholders on the status all REDD property and calibration efforts. Serve on Lab-Level teams to advocate for process and tool changes.
  • In partnership with the REDD Facilities Manager, oversee the intake, coordination, meeting management, and overall tracking of all service requests and work orders submitted for REDD Facilities and drive toward timely solutions. Develop and implement processes to ensure timely status updates are made to REDD Leadership.
  • Ensure that Tririga (Space Management Reporting) is accurate and up-to-date with the current staff locations, lab layouts, and structural modifications in order to support Lab Optimization efforts for REDD and APL.
  • Develop and analyze space management reporting and provide recommendations to the REDD Facilities Manager and REDD Leadership for optimizing lab and office space.
  • Manage wireless devices across the Department, including the purchasing, allocation, replacement, and disposition of all staff wireless phones and tablets.

Qualifications

You meet our minimum qualifications for the job if you...

  • Possess a High School Diploma or equivalent, or higher degree, and 5+ years of proven experience in business or operational support.
  • Bring a strong process-driven mindset, with excellent attention to detail and organizational skills.
  • Have a positive demeanor and the ability to work well independently, on teams, and with all levels of staff.
  • Possess excellent verbal and written communication skills and experience with MS Office to include MS Excel, Word, and PowerPoint.
  • Can independently problem-solve, analyze information, summarize findings, and recommend process improvements.
  • Thrive in a fast-paced, dynamic environment, effectively prioritizing multiple concurrent tasks while ensuring timely follow-through.
  • Are physically able to travel across the APL campus multiple times per week, and lift up to 30 pounds as needed.
  • Are able to obtain a Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You will exceed our minimum requirements if you...

  • Have experience with maintaining property inventory.
  • Are knowledgeable and experienced with APL business systems and processes, specifically with PEMS and ASAP.
  • Have experience leading the property and calibration efforts of an organization. Have an Associates Degree or Higher.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
