Position Purpose
The Administrative Assistant III provides comprehensive administrative support to both the Dean of Undergraduate Education ( DUE) and the Dean of Undergraduate Student Affairs ( DUSA) divisions within the School of Arts & Sciences. This role supports both the academic and student-focused leadership of the School by managing scheduling, communications, meetings, and events. The position requires strong organizational skills, sound judgment, and the ability to prioritize across two fast-paced, collaborative portfolios. The AA III plays a central role in ensuring professionalism and consistency across DUE and DUSA operations.

Required Qualifications - Skills, Knowledge and Abilities

  • 2-3 years of administrative experience in higher education, academic affairs, or student services.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and maintain professionalism in a fast-paced environment.
  • Proficiency with Microsoft Office, calendaring systems, and event logistics tools.

Preferred Qualifications

  • Experience working in a student- or faculty-facing setting.
  • Familiarity with Dartmouth systems and academic structure.

Description
Administrative Support and Calendar Management

  • Provide scheduling and administrative support to the Dean of Undergraduate Student Affairs and the Dean of Undergraduate Education.
  • Coordinate complex scheduling across divisional deans, ensuring alignment with institutional priorities, including travel, meetings, interviews, and events involving students, staff, and faculty.
  • Arrange and prepare for meetings: agendas, materials, minutes, and follow-ups.
  • Submit expenses and process reimbursements.
  • Draft and manage professional communications and correspondence on behalf of the Dean.
  • Monitor shared inboxes, respond to inquiries, and redirect as needed.
  • Serve as a primary point of contact for visitors and callers, providing front-facing customer service; manage office phones and perform general administrative tasks to support daily operations.

Description
Communications Liaison and Divisional Coordination

  • Serve as a communication bridge between the DUSA, DUE, and other divisional leaders.
  • Facilitate meeting logistics, shared initiatives, and information flow across the School.
  • Assist with internal coordination for joint projects, reports, and strategic planning.
  • Maintain shared documents, calendars, and tracking tools related to divisional operations.
  • Liaise as needed with the Dean of Faculty division.

Description
Event and Program Support

  • Support the execution of DUE and DUSA programs, retreats, and divisional gatherings, academic meetings, leadership events, and campus partner gatherings.
  • Coordinate meeting locations, catering, materials, and AV/Zoom technology needs.
  • Collaborate with divisional and campus partners on event scheduling and communications.

Description
Operational and Cross-Divisional Support

  • Assist with expense processing, reimbursements, and procurement for the academic divisions.
  • Support shared School-wide initiatives and provide backup coverage for student-facing administrative functions when needed.
  • Assist with divisional meetings, cross-unit projects, and internal coordination.
  • Contribute to broader administrative team efforts under the direction of the Senior Project and Administrative Manager.
  • Support logistics for meetings, events, and school-wide gatherings (space, catering, AV, guest communications).
  • Maintain records, order supplies, and ensure timely follow-through on administrative tasks.
