YOUR OPPORTUNITY


We have an exciting opportunity for an experienced I-9 and Leave Management Specialist at our Guymon processing plant. You will be a key member of the Human Resources team, responsible for ensuring compliance with federal regulations related to the Form I-9 process, the Family and Medical Leave Act (FMLA), and the Americans with Disabilities Act (ADA). You will lead internal audits, manage reverification timelines, and assist in the ADA interactive process. This role also supports employees through leave-related matters by coordinating with our third-party vendor and maintaining accurate records in our HRIS. The ideal candidate will bring deep knowledge of employment compliance, strong attention to detail, and a commitment to delivering exceptional service to our workforce.

RESPONSIBILITIES



  • Ensure full compliance with federal I-9 regulations, including timely reverification of employment authorization documents.
  • Conduct regular internal audits of I-9 forms and correct errors in accordance with company policy and legal requirements.
  • Serve as the subject matter expert on I-9 compliance and provide guidance to HR team members.
  • Oversee the FMLA process in coordination with the third-party leave management vendor, ensuring timely and accurate facilitation.
  • Update and maintain leave-related data in the HRIS system, including attendance tracking and return-to-work status.
  • Communicate with employees regarding leave status, documentation requirements, and available resources.
  • Monitor and manage benefits continuation and payment processes for employees on leave.
  • Track and document the ADA interactive process, including accommodation requests, approvals, and implementation.
  • Maintain confidential records related to ADA accommodations and work restrictions.
  • Provide clear and accurate information to employees regarding I-9, FMLA, ADA, and related policies.
  • Escalate complex policy interpretation issues to appropriate HR leadership.
  • Ensure HRIS data integrity for I-9, leave, and ADA-related records.
  • Identify process improvement opportunities and recommend solutions to enhance compliance and efficiency.
  • Support other HR functions as needed and perform duties assigned by management.




QUALIFICATIONS



Required:



  • Minimum 3 years of experience in HR with direct responsibility for I-9 compliance and leave management.
  • Experience working with ADA accommodations and understanding of the interactive process.
  • Ability to demonstrate in-depth knowledge of federal I-9 regulations, FMLA, and ADA requirements.
  • Familiarity with HRIS systems (e.g., Workday, UKG, ADP) and document management tools.
  • Strong attention to detail and ability to manage sensitive data with confidentiality.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Bilingual - English and Spanish


Preferred:



  • Associate's or Bachelor's Degree.
  • Experience in all relevant HR subject areas.

  • The hours and days of work are established by departmental needs and at the discretion of management. After-hours, weekends, and overnight travel as requested.
