EXCITED TO GROW YOUR CAREER? WE'RE GLAD YOU'RE HERE! The Travel Director role is an exciting opportunity that will offer you a chance to build a foundation with Maritz. Travel Directors deliver exceptional client and guest experiences through outstanding customer service and hospitality during on-site event operations. Travel Directors are expected to travel approximately 220-230+ days per year and remain on-call year-round, excluding approved paid time off.

The following states / territories are excluded for residence Alaska, California, Colorado, Hawaii, New York, Pennsylvania, Puerto Rico and Washington.

Scope

  • Travel Directors are expected to travel approximately 220-230+ days annually.

  • Travel Directors maintain on-call availability while on-site, with working hours that vary based on program needs.

  • Support on-site program operations in a range of capacities determined by client and guest needs such as: Registration and Hospitality, Food & Beverage, Meetings, Transportation, Activities, and Hotel Rooms.

  • Ensure implementation of Emergency Preparedness and Response Plans.

  • Demonstrate a high level of adaptability and professionalism in managing travel assignments.

  • Receptive to receiving travel schedules approximately 30-45 days in advance. Maintain a positive and solution-oriented attitude when responding to last-minute changes.

Reporting and Working Relationships

  • Reports to Manager, Event Operations. When on-site, accountable to Lead Travel Director. Interacts with partner teams such as Meeting Event Managers, Travel Account Managers, Account Executives/Managers, Guest Services, Accounting, and technology teams.

Primary Responsibilities

60% Event Operation Logistics

  • Serves as direct face-to-face liaison for guests to resolve all customer service-related needs.

  • Manages and/or supports all on-site logistics within assigned areas of focus, effectively using Maritz systems, tools, and technology to ensure smooth execution.

  • Complies with all corporate, department and performance policies.

  • Establishes strong working relationships with vendors and clients. Conducts and participates in staff meetings, hotel walk-throughs and briefings.

  • Uses creative and strategic problem-solving skills. Provides guidance and consultation to clients and guests.

  • Depending on role, acts as liaison to main internal account team, client, and suppliers for on-site event logistics. Demonstrates strong communication skills.

  • Debriefs daily with internal account team, on-site team, vendors, and clients (if appropriate) to ensure all parties are informed of event logistical changes, expectations and deliverables being met based on current scope of event.

  • Collaborates with teams to define the best solution to onsite opportunities to ensure the best event experience for clients and guests.

20% Budget/Financial Management

  • Understands scope of event budget inclusions for designated areas of focus.

  • Adheres to all billing and gratuity policies and procedures.

  • Provides documentation of any potential on-site cost savings.

  • Tracks and monitors any on-site billing additions.

20% Administrative Tasks

  • Maintains prompt submission of expense reports according to policy.

  • Books own program flights via Concur, in accordance with company travel policies and guidelines.

  • Participates in department-provided education opportunities.

  • Promptly responds to People Leader and Departmental communications.

This job function requires travel in support of event operations. There is an inherent risk associated with all travel. Some travel destinations may require specific vaccinations for entry. During an emergency, it is your responsibility to provide the necessary guidance and leadership, and to promote the safety of all staff and guests by implementing or supporting the emergency preparedness and response plan.

This role involves regular interaction with food and food-related environments, including preparation areas, catering setups, and event venues where common allergens (e.g., nuts, dairy, gluten) may be present. Qualifications

  • Bachelor's degree or equivalent experience required. Hospitality degree a plus.

  • Minimum 1-year experience with a hotel, DMC, or event management company (or applicable customer service role) required or at least 1-year internal Maritz experience.

  • Advanced Microsoft Office (with an emphasis on Excel) product knowledge and the aptitude to learn new technology solutions required.

  • Excellent communication, teamwork, adaptability and leadership skills.

  • Ability to travel approximately 220-230+ days per year and remain on-call year-round, excluding approved paid time off.

  • Must be authorized to work in the United States - and, have a valid US Passport. Or, have the ability to obtain a US Passport within 30 days of hire.

  • Must live within 1 hour of a major airport and fly to/from events from designated home airport.

  • Must be able to handle physical demands of the position which may include but are not limited to: extensive standing, walking and/or sitting, lifting up to 50lbs, and long distance travel, etc.

  • Leadership experience preferred.

  • Foreign language fluency a plus.
