Job Overview

The Executive Assistant (EA) serves as an important central administrative liaison for the Georgetown University School of Medicine's Office of the Dean and provides direct EA support to assigned members of the Dean's senior leadership team - the Vice Dean & Chief of Operations, Vice Dean for Medical Education, & Sr. Associate Dean for DEIB. As the central reception and administrative office for the School of Medicine, the EA plays a critical role in managing smooth operations for the Office of the Dean, ensuring a welcoming environment, and maximizing the effectiveness of the School of Medicine Dean's senior leadership team. Additional Duties include but are not limited to:
  • Provide high-level and administrative support to the Office of the Dean through direct support of the Dean's senior leadership team, as well as welcoming and directing visitors/guests of the Office of the Dean
  • Coordinate and staff meetings and events, as requested by assigned senior leaders
  • Manage and support calendars, business expenses, ordering, travel, presentations, notetaking, functional research, and other coordination/administrative needs for assigned senior leaders, as requested
  • Provide administrative and project support to working groups, leadership searches, and SOM-wide initiatives for the Office of the Dean
  • Keep assigned senior leaders abreast of schedule changes, requests, and emerging issues - anticipating needs, effectively prioritizing issues, preparing briefing materials, and making sound judgement around information sharing across the leadership team and externally


Work Interactions

Reporting to the Vice Dean & Chief of Operations within the Office of the Dean, the Executive Assistant serves as a critical support to senior SOM leadership and liaison between the Office of the Dean and faculty, staff, and students; medical alumni and families; and other internal/external School of Medicine community members. The incumbent must exercise broad and comprehensive knowledge of the University's policies and operations to perform highly confidential duties. These duties require discretion, good judgment, tact, poise, and appropriate triaging.

Requirements and Qualifications
  • Bachelor's degree, or equivalent combination of education and experience
  • At least 5 years of experience providing executive support to senior-level leadership
  • Experience effectively managing calendars and scheduling, with many competing demands on time
  • Excellent written and oral communication skills
  • In-depth understanding of MS Office suite and basic Google Apps suite (Gmail, Calendar, Drive, Sheets, etc)
  • Ability to effectively organize and prioritize competing tasks, projects, and requests
  • A proactive approach to problem-solving with strong decision-making skills
  • Effective project and deadline management skills
  • Exceptional judgement, customer service, organizational skills, and attention to detail
  • 5+ years of experience providing direct support to senior leadership, especially multiple leaders at once
  • Experience with Zoom, Georgetown Management System, and Concur travel
  • Knowledge of Georgetown University travel and business policies
  • Previous experience working in a medical school or academic health system

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$47,586.00 - $87,558.13

Compensation is determined by a number of factors including, but not limited to, the candidate's individual qualifications, experience, education, skills, and certifications, as well as the University's business needs and external factors.
