We are seeking a Medical Records Assistant I to support the accurate handling and distribution of patient records and correspondence in compliance with HIPAA regulations. Reporting to the Health Information Manager, this role requires strong attention to detail to ensure records are processed in accordance with federal guidelines.
The ideal candidate will deliver outstanding customer service and assist patients with inquiries related to their medical records.

Minimum Education and Experience
High school graduation or GED. Minimum of one year related clerical experience. Competent computer skills. Excellent customer service and telephone skills.

  • Completion of some college coursework or relevant post-secondary education
  • Knowledge of and ability to adhere to HIPAA regulations

Other Qualifications
To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Essential Duties and Responsibilities

  • Distribute outgoing documents and correspondence in a timely manner
  • Fulfill medical record requests in accordance with HIPAA guidelines
  • Scan, file and archive records into the electronic medical record (EMR) system
  • Perform general clerical duties, including faxing and handling incoming calls
  • Greet and assist patients while providing excellent customer service to the entire Callier community
  • Perform other duties as assigned

  • Regular use of a computer for extended periods, including communication via computer, phone, or smart device
  • Frequent sitting and reaching, with mobility to move throughout the work environment and the Center
  • Occasional bending, walking, lifting, or carrying materials up to 15 pounds
  • Ability to stand for extended periods during events


Working Conditions

  • Position is primarily based in an office or clinical setting within the Center
  • Work is performed in a fast-paced environment with frequent interaction with patients, staff, and external partners
  • May involve occasional exposure to sensitive or confidential information, requiring discretion and strict adherence to privacy regulations
  • Standard work hours apply, with occasional flexibility required for events or special projects
  • Employees must be able to adapt to shifting priorities while maintaining professionalism in a dynamic healthcare environment

This is an on-site position and is not authorized to work from home.
The employee will be required to report to work at the main campus in Richardson, Texas, and the Callier Dallas location on occasion.
