Our Team

Join our team as a Records Coordinator where you will collaborate with a team of passionate professionals who are all driven to make a difference, as we collectively transform to achieve shared success. In this role, you'll leverage your organizational skills, attention to detail and customer focus to improve our HR service delivery. Your initiative and problem-solving abilities will contribute to our continuous improvement efforts, helping us to deliver exceptional and seamless support experience for our employees.

What You Will Do

  • Manage and oversee the central filing system for both electronic and paper employee records, ensuring compliance with federal, state, and HIPAA regulations.
  • Handle sensitive information with utmost care and confidentiality, practicing careful communication.
  • Facilitate the storage and retrieval of employee records as needed, responding promptly to requests from authorized personnel.
  • Maintain and organize employee master file records, including tasks such as indexing, imaging, storing, and retrieving records and documents in the approved SharePoint site.
  • Efficiently manage employment verifications and child support orders, completing and routing them to third-party agencies.
  • Conduct software validation and quality assurance (QA) testing for the implementation of electronic document management systems.
  • Ensure the Records and Information Management (RIM) program is effectively applied throughout the entire lifespan of employee personnel files, including creation, retention, and eventual destruction.
  • Exhibit strong attention to detail and organizational skills, with the ability to manage and prioritize multiple tasks effectively.
  • Proactively identify and implement opportunities for HR system enhancements and process improvements.

Who You Are (Basic Qualifications)

  • Previous experience working with customers to solve complex problems.
  • Experience managing sensitive information (e.g., medical, employment, payroll).
  • Proficient in Microsoft O365 applications: (e.g. Outlook, Word, Excel, Teams and SharePoint).

What Will Put You Ahead

  • Experience in roles such as payroll, benefits, customer service.
  • Ability to thrive in fast-paced environments: Experience managing multiple, often competing priorities.
  • Skilled in research and troubleshooting: Experience researching, troubleshooting, and collaborating to resolve employee issues.
  • Familiarity with HCM and payroll platforms: Experience with Human Capital Management Systems (HCM) and/or payroll platforms like SAP, PeopleSoft, or WorkDay.
